As part of the Business Support Team, you will work within a highly motivated team delivering admin support to both the leadership team and the operational teams, allowing them to deliver the highest quality of service. In addition, you will provide support to your colleagues within the Business Support Team, ensuring collaborative working, and the achievement of team aims and objectives.
Key Responsibilities:
Front Desk Management:
Serve as the welcoming face of the organization by greeting visitors with warmth and professionalism.
Manage a multi-line phone system, efficiently directing calls, taking messages, and providing information to callers.
Administrative Support:
Assist with daily administrative tasks, including managing correspondence, formatting documents, and ensuring that information is organized and easily accessible.
Take detailed notes during meetings and assist in developing organizational policies and procedures.
Accepting and delivering business mail
Inventory ordering (including office supplies, stationery, and other business consumables)
Microsoft Office Proficiency:
Utilize Microsoft Office (Word, Excel, PowerPoint, Outlook) to create polished reports, presentations, and promotional materials.
Maintain accuracy in data entry, ensuring that all organizational records are up to date.
Scheduling and Time Management:
Coordinate schedules for team members, managing appointments and ensuring effective time management.
Prioritize incoming tasks and requests, ensuring deadlines are met while maintaining a high level of service.
Effective Communication:
Communicate clearly and professionally with team members, clients, and external partners, fostering a collaborative work environment.
Provide information and assistance to clients and visitors, addressing their needs with empathy and understanding.
Team Collaboration:
Work closely with staff across various departments to promote teamwork and support organizational goals.
Participate in team meetings, sharing insights and contributing ideas to enhance office efficiency.
Confidentiality:
Handle sensitive information related to clients and organizational operations with the utmost confidentiality and professionalism.
Adhere to all relevant privacy policies and maintain secure records.
Support for Individuals with Learning Disabilities:
Approach every interaction with compassion and respect, creating a welcoming environment for individuals with learning disabilities and their families.
Demonstrate patience and understanding while providing assistance and information.
Additional Duties:
Writing social media posts and updating social media pages.
Perform other related duties as assigned by management to ensure the smooth functioning of the office.
Assist in organizing events, meetings, or workshops as needed, contributing to overall community engagement efforts.
Qualifications / Required Skills:
Experience in a receptionist or administrative role (desirable).
Knowledge of the social care sector (desirable).
Proficiency in Microsoft Office applications and familiarity with office software.
Strong organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Excellent time management and communication skills, both verbal and written.
Ability to work independently and collaboratively within a team.
A positive attitude, empathetic temperament, and a genuine passion for making a difference in the community.
