Job Description

Within the reception of Barham Court, we are seeking a highly motivated and driven individual to join our team in Teston, Maidstone. You will be providing support to ensure the smooth and efficient running of the business centre, showing excellent customer service and professionalism.

Responsibilities:



Dealing with the general day to day running of Reception:

Answering phone calls, replying to emails, accepting/sending post and parcels. Printing documents, scanning and emailing on behalf of clients Sending announcements and information to clients on outlook Meeting and greeting clients and visitors to Barham Court, managing the visitors register
Booking and managing meetings:

Dealing with enquiries, over phone and via email regarding functions, meetings, and conferences Managing the meeting and conference rooms' diary (booking and sending confirmations, raising invoices etc) Setting up refreshments for meetings and conferences, clearing and replenishing during and after. This task can be physically challenging so we are looking for someone who gives attention to detail and is pro-active.
Marketing available office spaces:

Contacting potential new clients via telephone and email to arrange viewings Dealing with office brokers Conducting viewings of available office spaces
Keeping up to date the files and spreadsheets of:

Data entry of services and facilities used Updating files with new client's details Credit control (chasing payment of overdue invoices) Maintaining and updating swipe card entry database including issuing new card
General tasks:

Daily inspections of building facilities (replenishing items as required) General cleaning of main kitchen area/communal areas/reception area throughout the working day. Setting up new phones via VTSL portal Planning and conducting fire drills Dealing with general telephone issues, call diverting, pick up group, changing names on handsets etc Dealing with any issues arise within the building internet, telephones, water, power etc Compliance for new clients, issuing contracts, terms of business, getting required ID, signatures etc.
Hours: 25-37.5 hours per week

Wage: Depending on age and experience

No experience is necessary as all training will be given on site.

Job Types: Full-time, Part-time, Permanent

Pay: Up to 26,000.00 per year

Expected hours: 27 - 37.5 per week
