We are a friendly, patient-focused GP surgery using a total triage system to ensure patients are directed to the most appropriate care efficiently. Our reception team plays a vital role in supporting patients to access the right help at the right time.

Receptionist/Administration Assistant

Job Summary

We have one position of 18 hours per week.

Regular hours:

Tuesday 8.00 - 13.00

Wednesday 8.00 - 13.00

Thursday 14.00 - 17.00

Friday 8.00 - 13.00

Working pattern will usually consist of shifts between 08.00 - 13.00 and 14.00 - 18.30

You will be fully flexible and available to cover additional shifts between 8.00am and 13.00pm, Monday to Friday, sometimes at short notice.

Reception Duties

:

Acting as the first point of contact for patients by phone, online, and in person. Supporting patients to submit requests via our total triage system Collecting clear and accurate information from patients using agreed practice protocols Navigating and signposting patients to the appropriate clinician or service Managing urgent and routine requests appropriately Booking appointments, managing messages, and completing administrative tasks Providing a calm, professional, and empathetic service at all times

Clerical Duties

Assisting with practice emails and internal messaging in a timely and confidential manner Handling payments for private (non-NHS) work undertaken by the practice, including issuing receipts and maintaining accurate records Supporting patients with queries relating to the NHS App, including registration and basic troubleshooting Processing and sorting proxy access requests in line with practice policy and data protection requirements Maintaining accurate patient records and ensuring information is updated appropriately Supporting the wider administrative team as required to ensure smooth day-to-day practice operations Prepare computerised repeat prescriptions following practice protocol and set out for verification and signature of doctor.

General Duties

Opening/Locking premises, check heating and ventilation Leave reception area tidy and ready for incoming colleagues Ensure waiting rooms are tidy Complete daily checklist Set building alarm and ensure all windows are secure and lock up premises securely Participate in training as required Undertake any other duties as agreed with the Practice

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately

In the performance of the duties outlined in this , the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential

Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified

Apply Practice policies, standards and guidance Discuss with other members of the team how the policies, standards and guidelines will affect own work Participate in audit where appropriate
