Role Overview
We are seeking a professional and organised Receptionist / Administrative Assistant to join our team. This role is the first point of contact for visitors and clients and will provide essential administrative support to ensure the smooth running of the office. The successful candidate will also assist with office support administration and bookkeeping tasks.
This is a full time role, 37.5 hours per week based in our Edinburgh office.
Pay: 24k to 27k per year based on experience.
Key Responsibilities
Reception & Office Support
Greet and welcome visitors, clients, and staff in a professional manner.
Answer and direct phone calls, take messages, and manage general enquiries.
Manage incoming and outgoing post and deliveries.
Maintain the reception area and meeting rooms to a professional standard.
Support the coordination of meetings, including room bookings and refreshments.
Assisting with checking building compliance and repair matters as part of the IMS team.
Administration
Provide general administrative support to the directors and wider team.
Prepare and format documents, letters, and reports.
Manage office supplies and liaise with suppliers.
Assist with filing, archiving, and maintaining office records.
Key role in assisting in the management of our project management database, and input and update of data.
Bookkeeping
Assist with updating fee projections, including drafting and processing invoices and expense claims.
Support the finance team with supplier invoices.
Skills & Attributes
Strong organisational and multitasking skills.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with digital systems.
Previous use of Xero an advantage.
Attention to detail and accuracy.
Positive, proactive, and professional manner.
Experience & Qualifications
Previous experience in a reception or administrative role preferred.
Familiarity with HR or bookkeeping tasks an advantage, but training will be provided.
Good standard of general education (e.g. National 5s, Highers, GCSEs or equivalent).
Further qualifications in admin, HR or book keeping desirable, but not essential.
