Role Overview:
We are looking for a
proactive, experienced, and customer-focused Front of House / Receptionist
to join our clinic. You will be the first point of contact for patients, connecting them with the right therapist or service, and ensuring their experience is seamless, professional, and positive.
This is a
mid-level role
, ideal for someone with previous experience in healthcare reception, dental, or veterinary practices who can hit the ground running and thrive in a busy, dynamic environment.
Key Responsibilities:
Patient Interaction & Care Coordination:
Answer incoming calls, emails, and messages promptly, providing advice and directing patients to the most appropriate therapist.
Gather detailed patient information, including symptoms, history, and treatment needs, to facilitate optimal care.
Ensure patients are aware of clinic services, products, and care plans, acting as a knowledgeable connection between patients and our team.
Upsell products and care plans when appropriate, helping patients understand the value and benefits.
Manage scheduling efficiently, pre-booking appointments around patients' availability and therapist schedules.
Proactively solve scheduling challenges, including therapist delays, to ensure patients are attended to promptly.
Administration & System Management:
Accurately maintain patient records and upload forms into PracticeHub (Booking Software).
Handle deposits, payments, care plan administration, and invoicing.
Manage cancellations and rescheduling in accordance with clinic policy.
Ensure patient communication (reminders, follow-ups) is timely and professional.
Clinic Support & Knowledge:
Understand all services and products offered by the clinic.
Be proactive in helping both staff and patients, ensuring smooth clinic operations.
Maintain a positive, professional, and welcoming environment for all patients.
Required Skills & Qualifications:
Previous experience in a healthcare reception, dental, veterinary, or similar patient-facing role.
Mid-level experience with strong organisational, multitasking, and problem-solving abilities.
Confident and professional communication skills, with the ability to explain complex information clearly.
Knowledge of general office systems and appointment booking software; training will be provided on PracticeHub.
Ability to handle sensitive patient information confidentially.
Enthusiasm for learning and understanding healthcare services and products.

Work Conditions:
Full-time.
We are open 51hrs/week, 8am-7pm some days. Overtime negotiable.
Occasional flexibility required to accommodate patient scheduling needs.
Clinic events approx. one Saturday (5-6 hours, every 12-16 weeks). Dependent on availability and in addition to standard hours.
