Proback Clinic Victoria is a leading healthcare clinic located just steps from Victoria Station (Cardinal Place exit). We pride ourselves on offering high-quality care in a welcoming and professional environment. As a very busy clinic, we are seeking a

proactive, motivated, and experienced Receptionist/Administrator

to join our dynamic team.

not your typical front-desk role

-- we go above and beyond, and we're looking for someone who does too.

Who We're Looking For



We're looking for a

who thrives in a fast-paced, patient-focused environment. You'll need to be confident managing multiple tasks at once while maintaining high standards of professionalism and care.

You must have:

Minimum 1 year of experience in reception/admin

Excellent

multitasking skills

and ability to stay organised under pressure. A

long-term mindset

- we're looking for someone ready to grow with the clinic. Strong communication skills (both verbal and written English). Confident telephone manner and ability to handle a busy reception area. Strong IT literacy (booking systems, email, MS Office, etc.).

Key Responsibilities



Provide a

high-quality front-of-house service

for all patients and visitors. Set up and prepare the clinic for daily treatments and procedures. Liaise with practitioners and consultants to arrange patient appointments. Continually assess and respond to the needs of patients and the clinical team. Answer and manage incoming calls efficiently and professionally. Assist with

marketing tasks

including

cold calling

, introducing our services to potential patients, and

booking new appointments

. Monitor and manage stock levels, informing the Practice Manager of shortages or orders. Follow clinic policies and procedures with consistency. Report equipment issues and support basic maintenance checks. Support the Practice Manager with administrative tasks as required. Identify personal training needs and undertake development opportunities as agreed. Handle and report patient feedback and complaints appropriately.

Working Hours



Full-time

: 37.5 to 40 hours per week. Shifts vary between

8:00am - 8:30pm

on a rotating basis. Shifts provided 1 month in advance. Morning shift / 8:00am to 16:00pm - Evening shift / 12:30pm to 20:30pm. You may be required to cover staff holidays or sickness.
