We are seeking a
receptionist/administrator
to join our friendly and creative team. This role is central to the smooth running of our studio, providing essential administrative support and ensuring an excellent front-of-house experience for all visitors and staff
Duties
Greet visitors and provide a warm, professional welcome
Answer and direct all incoming calls
Organise refreshments for guests and arrange catering for meetings when required
Manage meeting room bookings and setup
Perform data entry tasks accurately using Microsoft Office
Maintain organised records and files, ensuring confidentiality and easy retrieval of information
Handle incoming and outgoing correspondence, including emails and postal mail
Assist with administrative tasks such as photocopying, scanning, and filing documents
Support other administrative staff with various clerical duties to ensure efficient office operations
Maintain a tidy and welcoming reception, meeting rooms, and communal spaces
Order weekly groceries and maintain kitchen supplies,
Process purchases and purchase orders, and maintain accurate records
Help organise CPD sessions and maintain attendance records
Assist and provide cover for the Studio Manager during periods of leave
Support the Studio Manager with ad hoc administrative tasks
Carry out Fire Marshal duties and support health & safety procedures
About You
We are looking for a positive, adaptable, and professional individual with excellent communication and organisational skills. You should enjoy working in a creative environment and be comfortable multitasking in a busy studio.
Essential skills:
Excellent telephone and interpersonal skills
Strong organisational abilities and attention to detail
Proficiency in Microsoft Office and basic IT systems
A proactive and reliable attitude
Desirable:
Experience in a similar office or studio environment
An interest in architecture or design
Start date:
As soon as possible
