We are seeking a professional and organised Receptionist to join our team. The successful candidate will be the first point of contact for visitors and callers, providing excellent customer service and ensuring smooth administrative operations. Duties
Greet visitors and clients in a courteous and professional manner
Answer incoming phone calls, directing them appropriately and taking messages when necessary
Manage appointment scheduling and calendar organisation using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately into company databases such as QuickBooks or other relevant systems
Handle correspondence via email and postal mail, ensuring timely responses
Maintain organised records of all administrative documents and files
Assist with general administrative duties including photocopying, filing, and organising supplies
Support other team members with clerical tasks as required to ensure efficient office operations
Skills
Proven office experience with strong organisational abilities
Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with data entry and clerical tasks, demonstrating accuracy and attention to detail
Good telephone etiquette with the ability to communicate clearly and professionally
Strong organisational skills to manage multiple priorities effectively
Typing speed of at least 40 words per minute for efficient document processing
Familiarity with QuickBooks or similar accounting software is desirable but not essential
Previous administrative experience is advantageous but not mandatory; training will be provided for specific systems used within the organisation
