About the Role



We are a

small, family run business

looking for a dedicated and versatile Receptionist/Administrator to join our close-knit team. This is a dynamic role that bridges the gap between office-based administration and hands-on vehicle management. You will be the face of the company for customers returning and collecting vehicles, ensuring our daily hire operations run smoothly and professionally.

Key Responsibilities



Office Administration:

Managing emails, answering phone inquiries, and maintaining an organised filing system for rental agreements and compliance paperwork.

Computer Literacy:

Daily use of MS Office and our Prohire booking System to process bookings and update vehicle status.

Vehicle Handovers:

Conducting thorough "check-in" and "check-out" inspections with customers, documenting any damage, and verifying fuel/mileage levels.

Fleet Coordination:

Moving vehicles around the site to ensure they are ready for hire. This includes vehicles of varying sizes (from small cars to large vans).

Customer Service:

Providing a friendly and efficient experience for all clients during the hire process.

The Ideal Candidate



Self-Motivated:

Able to manage your own workload and use your initiative when working solo.

Team Player:

Happy to collaborate with the wider team to meet daily tasks.

Organised:

A high level of attention to detail is essential for paperwork and vehicle inspections.

Confident Driver:

Must hold a valid, clean driving license and be comfortable driving vehicles of different sizes.

IT Literacy:

Proficient in using computers and email platforms.

Requirements



Previous experience in an administrative or customer-facing role. Proven experience in handling phone calls and professional email correspondence. Ability to work outdoors for vehicle inspections in various weather conditions.

Communications:

Manage a busy phone line, providing excellent phone etiquette and taking clear messages when required.

Administration:

Handle daily office tasks including filing, scanning, and general clerical duties.

Vehicle Handling:

Assist with moving or delivering vehicles of various sizes (cars and vans) on-site or to local customers as needed.
Job Types: Part-time, Permanent

Pay: From 13.00 per hour

Expected hours: No more than 25.5 per week
