Job Title:

Receptionist / Administrator

Reports to: Home Manager

Location: Riseley House Residential Care Home

Hours: 26 Hours per week with alternate weekends

Salary: 14.00ph

Job Purpose:

To provide a warm, professional, and efficient front-of-house service for residents, relatives, visitors, and professionals. The Receptionist / Administrator will also support the Home Manager and wider team with administrative duties, ensuring the smooth day-to-day running of the care home's office and reception area.

Key Responsibilities:

Reception and Customer Service:

Act as the first point of contact for all visitors, ensuring a friendly, welcoming, and professional approach at all times. Answer incoming calls promptly, deal with enquiries efficiently, and direct calls or messages appropriately. Manage incoming and outgoing mail, deliveries, and correspondence. Maintain the reception area to a high standard, ensuring it is welcoming, tidy, and presentable.
Show Rounds and Enquiries:

Conduct professional and informative show rounds of the home for prospective residents and their families. Respond to telephone and email enquiries regarding admissions, availability, and care services. Record and follow up on all enquiries in line with the home's sales and admissions procedures. Liaise with the management team to support the conversion of enquiries into admissions.
Administrative Support:

Provide administrative assistance to the Home Manager and Heads of Department. Maintain accurate and up-to-date records, filing systems, and databases. Support with staff documentation, training records, and rotas as required. Assist with the preparation of reports, letters, and other correspondence. Ensure confidentiality and data protection are maintained at all times.
Systems and Technology:

Use email, word processing, and spreadsheet software to complete daily administrative tasks. Record and track enquiries and admissions using the home's systems. Knowledge of a CRM (Customer Relationship Management) system would be advantageous, but not essential - full training will be provided.
Skills and Qualities:

Excellent communication and interpersonal skills. Friendly, professional, and empathetic manner. Strong organisational and time management abilities. Attention to detail and accuracy in all administrative work. Confident using IT systems, including Microsoft Office. Ability to work independently and as part of a team. Discretion and professionalism when handling sensitive information.
Experience and Qualifications:

Previous experience in a reception or administrative role (care or healthcare setting desirable). Experience providing excellent customer service. Familiarity with CRM or database systems beneficial.
