Job Description

An opportunity has arisen for an enthusiastic individual to join our friendly and supportive team at Woodcote Medical. The post holder will work primarily in the Reception team, but will provide cover and support to the Administrative team when needed.

The working pattern required is detailed below, however flexibility is required for covering annual leave and sickness absences.

Main duties of the job



You should be experienced in delivering excellent customer service, maintaining professionalism, discretion and confidentiality at all times and able to work well under pressure both independently, and as part of a team.

The main duties of this role involve providing customer service and ensuring that our patients are treated with kindness, professionalism, and efficiency. Telephone interactions must maintain a high standard of empathy and professionalism. Responsibilities include accurately recording relevant information in patients' healthcare records, experience with Emis, Docman and GP Triage systems are essential

You may be asked to work across our two surgeries in Purley and Coulsdon and will provide cover for the Reception team when needed. This will involve greeting and directing patients, booking appointments and assisting patients.

Receptionist experience in a similar environment would be an advantage



- Input clinical coding data into the clinical system and ensure accurate documentation within the patient record.

- Arrange additional appointments or tests as necessary, as permitted by the scope of the position, based on specifications outlined in documentation or requested by the clinician.

- Report significant events related to document management promptly and engage in any related learning derived from such incidents.

- Address all incoming correspondence, including emails and mail, in an efficient and timely manner.

- Scan patient-related documents and properly attach these scanned materials to the corresponding patient healthcare records.

- Process modifications to patient registration, manage the deduction of records, and facilitate new patient registrations.

- Provide assistance and guidance to patients, including the completion of online medical requests and the scheduling of appointments.

- Cover colleagues' shifts in cases of illness or annual leave to ensure continuity of service.
