Workspace Host
The Role:
This is an exciting opportunity for someone who is looking for a hybrid role that consists of both creativity, public relations, and Front of House responsibilities. Reporting to the Facility Co Ordinator, the Workspace Host will be responsible for the reception suite, creating & maintaining positive working relationships with both tenants, contractors & visitors alike. You will also be responsible for supporting Building Management with health & safety related matters, and creating customer engagement, using social media platforms, and hosting events onsite. The successful applicant will have a can-do attitude, great attention to detail, a willingness to learn, and a passion for providing a memorabile customer service experience. The successful candidate will also be well presented, sociable but professional, and confident in working with clients and vendors, face to face, via email or by telephone.
Responsibilities:
Providing a warm & welcoming front of house experience to all tenants, contractors & visitors onsite.
Managing the coffee machine and stocking up on provisions such as tea, coffee, milk & fruits.
Ensuring that the reception & breakout areas are always presentable.
Organising fortnightly events and updating all social media platforms.
Ensuring that telephone and email communications are answered in a timely and professional manner and transferred to the appropriate personnel.
Directing couriers and managing internal and external post.
Ensuring that visitors' sign in and out of the property, and that access passes are administered correctly as per authorised access.
To ensure that contractors onsite receive inductions.
Assisting with ad-hoc duties as and when required.
Managing door access systems and updating occupier records
Processing invoices and raising purchase orders.
Reporting maintenance & security issues to the Facility Co Ordinator
Supporting in managing AV systems
Assisting with administration of on-site parking scheme.
Supporting the facilities team in monitoring helpdesk services.
Professional Standards
Ensure that the building and front of house is safety compliant.
Maintain a smart and professional dress and appearance.
Report to the FM when the Facility Co Ordinator /Building Manager is on annual leave.
Fire marshal duties & assisting with fire alarm testing.
To have a professional attitude and always maintain confidentiality.
To support existing and new tenants in terms of providing site information, and ensuring they understand site arrangements whilst keeping central distribution lists and contact information up to date.
Core Competencies and Skill Sets:
Previous experience within a reception or similar customer relations role
Excellent written & verbal communication skills
Excellent timekeeping
Great attention to detail
Confident to liaise with tenants, contractors and visitors
Social media experience using LinkedIn & Instagram (Desirable but not essential)
Events experience (Desirable but not essential)
Proficient with Word / Canva & Excel
Ability to work under-pressure.
Well-organised
First Aider (Desirable but not essential)
Fire Marshall (Desirable but not essential)
Ability to work well as part of a team and able to use own initiative.
