JOB TITLE: Early Years Receptionist
RESPONSIBLE TO: Early Years manager
GRADE: Minimum wage
HOURS OF WORK: Monday - Thursday, 7.30 a.m. - 2:00 p.m. Term time.
PURPOSE OF JOB:
To provide and facilitate a friendly, effective, and efficient reception and administrative service, together with other support to the Early Years Manager, staff, and children, to facilitate the smooth running of the nursery.

To work as part of a team to make a positive contribution to the whole nursery
To contribute positively to and support the vision, aims, and overall ethos of the nursery.
To promote high-quality communication between all members of the nursery community.
To maintain confidentiality at all times
PASTORAL CARE:
To be aware of, and act according to policies and procedures relating to child protection, pupil behaviour management, health & safety, security, confidentiality, and data protection, and report all concerns to an appropriate member of staff
To develop and maintain constructive and positive working relationships with parents, carers, and professionals
To maintain secure and up-to-date files relating to children on Tapestry.
A commitment to safeguarding and promoting the welfare of children
Attend all staff meetings and training.
DUTIES:
General office administration
Welcome visitors to the nursery
Answer incoming phone calls and deal with them accordingly
Update children's records, as required
Liaise with parents and caterers regarding online meal ordering
Liaise with suppliers of fruit and milk, including updating the Nursery Milk Reimbursement Unit (NMRU) regarding usage
Record attendance data and reasons for pupils' absence, as required
Prepare all Early Years paperwork:
- Making up starter packs
- Maintaining a list of children's attendance
- Maintain a spreadsheet of hours taken and a log of universal/extended funded hours
- Complete funding forms at the beginning of each term, calculate and obtain the parent/carer's signatures
- Prepare new starter paperwork
- Prepare online funding claims via the Early Years online portal
Send necessary communications to parents/carers via letters/emails/texts
Prepare letters regarding trips directed by trip leaders
Open post and disseminate to relevant staff
Take the post to the Post Office
Phone parents/carers to inform of any bumped head accidents
Assist in administering children's medication and completing associated paperwork
Prepare and circulate Newsletter as directed by the Headteacher
Process suspensions, as required
Produce celebration certificates at the end of each half term
Carry out a range of other administrative duties as required by the nurseey Manager.
Be aware of safeguarding procedures and respond appropriately
SUPPORTING PROCESSES:
Use initiative and discretion to ensure a smooth working environment, whilst working within agreed policies and procedures
To deal professionally with changing and often conflicting deadlines, with frequent interruptions to work
Professionally deals with parents/carers and other members of the public
WORKING CONDITIONS:
Frequent use of VDU. The post holder will be required to complete a 'Display Screen Equipment' (DSE) Assessment Form
Very busy and sometimes noisy nursery office environment
KNOWLEDGE, SKILLS, AND EXPERIENCE:
Good knowledge of ICT, use of Tapestry, and a high level of word processing and various other operations of online portals
Preferred level of education equivalent to 5 Grade 9 - 4 (previously A - C) GCSEs
Experience in a general office environment
Good communication and interpersonal skills
Confidentiality and professionalism
Good organisational and prioritisation skills
Job Types: Full-time, Part-time
Pay: 12.30-12.50 per hour
Expected hours: No less than 27 per week
