Job Description

The London campus of the prestigious French Universite Paris-Dauphine - PSL offers undergraduate, executive and summer courses fully taught in English, primarily in the fields of Economics, Management and Law. We also run a start-up incubator, and a variety of seminars and conferences. The Role:



We are looking for a positive-minded, dynamic, and reliable team player to join our Operations team.

The

Receptionist/Operations Administrator

the friendly face that greets our visitors, students, and staff, ensuring everyone feels welcome and supported. This role is essential in keeping our reception running smoothly while also providing valuable assistance to our operations team. Reporting to the Operations Manager, you'll be a key part of our team, helping to create an organised and professional environment every day.

Main duties and responsibilities (indicative)



Reception



Presenting a professional and welcoming face of the campus to all visitors, staff and students Implementing the reception procedures, including:
- Opening and closing procedures, facilitating access to building

- Signing in visitors and supplying/monitoring return of visitor's badges in line with safeguarding procedures, authorise entrance of people and vehicles

- Supplying/monitoring return of temporary issue ID badges for staff or students

- Ensuring the reception area is tidy, professional and presentable at all times

- Handle incoming and outgoing mail/packages, ensuring appropriate team member is notified

- Maintain entry security, reporting any suspicious activity

Finance/Administration



Monitoring/maintaining email box, categorising as needed Processing invoices in the accounting software, confirming authorisation as needed Support with administrative tasks, such as filing, data entry, and document management

Facilities Management



Act as a secondary contact to facilities suppliers when key contact is not available When necessary, helping to prepare classroom arrangements Reporting any unusual situation or facility risk

Other



Additional support for projects as needed. To be agreed via line manager Occasional late or week-end work may be required

Qualification and experience



A minimum of 2 years of work experience in a reception and administrative function is preferred, within an educational setting is desirable.

A-Level, Baccalaureate, or any other secondary studies is desirable. Fluency in French is an asset but not essential.

Skills and aptitude



Friendly and professional communication IT savvy: Microsoft suite, essential. Previous use of Xero is an asset, or a willingness to learn A high level of attention to detail and accuracy of work is essential Well-organised Strong communication skills, with excellent English both written and spoken is required (B2 +) Good adaptability skills Respectful of confidentiality Ability to work independently and as part of a team First aid training desirable, or willingness to train

Other requirements



Authorised to work in the UK. The successful candidate will be subject to a DBS check disclosure Commitment to equality, diversity and safeguarding.

Hours

: Part-time, 30-32 hours per week (07:45 to 14:00 Mon-Fri)

Salary

: 27,750 pro-rata per annum
