The Elite Clinic is a leading aesthetics clinic based in the heart of Knowle, Birmingham.
We are seeking a dedicated, proactive, and detail oriented Personal Assistant to join our team. This pivotal role supports the smooth day-to-day running of the clinic while providing administrative and personal assistance to the Clinic Directors. The ideal candidate is highly organised, and delivers exceptional client care.
Key Responsibilities
Front of House
Oversee daily clinic operations to ensure efficient workflow and exceptional patient care
Manage appointment scheduling, booking software, and patient records with accuracy and confidentiality
Front of house duties including welcoming clients, handling payments, and maintaining a professional client experience
Responsible for daily cashing up, reconciliation of payments, and ensuring financial accuracy
Communicate with clients to a consistently high standard throughout their treatment journey
Answer phone calls with excellent etiquette and respond to patient enquiries professionally
Maintain high standards of cleanliness and organisation within the clinical setting
Assist practitioners with coordinating patient services and referrals
Administrative & Clerical Duties
Perform clerical tasks including data entry, filing, document management, and stock/office supply control
Use of Aesthetic software confidently for schedules, documents, and internal communication
Support the implementation and improvement of administrative systems and clinic procedures
Personal Assistant Duties
Provide direct administrative and personal support to the Clinic Directors
Manage diaries, schedules, and appointments, ensuring effective time management
Handle confidential information with discretion and professionalism
Assist with correspondence, emails, and internal communications
Coordinate meetings, follow-ups, and reminders
Support ad-hoc tasks to assist the smooth running and growth of the business
Marketing & Social Media
Assist with social media management and content scheduling
Support promotional activity and clinic marketing initiatives as required
Skills & Experience
Strong organisational skills with excellent attention to detail
Confident multitasker able to prioritise in a busy clinic environment
Excellent customer service and communication skills
Experience handling payments and cashing up procedures
Competent with booking systems and administrative software
Strong data entry accuracy and document management skills
Professional phone manner and confident client facing presence
Proactive, trustworthy, and adaptable
Flexible and reliable with availability to work every Friday and Saturday.
