Livingston, West Lothian

Full-time, in-house

Hours:

Monday to Friday, 9am - 5.30pm (8.30am start every Tuesday for Team Meeting)

Saturday Requirement:

Every second Saturday, 9am - 1pm

Salary:

30,000 - 35,000 (dependent on experience and skillset)

About the Role



We are seeking a confident and capable

Receptionist / Property Administrator

to join our team. In this fast-paced, high-volume role, you'll bring energy, professionalism, and warmth to every interaction, ensuring every client enjoys a seamless and memorable experience.

You'll be at the heart of our operations - the first impression for our clients and a vital link between departments. The ideal candidate will be highly organised, proactive, and have excellent interpersonal skills. You'll thrive on multitasking, maintaining attention to detail, and supporting the wider team with a positive, can-do attitude.

What You'll Be Doing



Office Host



Ensure the office remains neat, tidy, and welcoming at all times. Greet visitors with warmth and hospitality, offering refreshments. Maintain an organised office environment, ensuring all supplies are stocked and readily available.

Client & Communication Management



Handle all forms of enquiries (email, phone, and WhatsApp) with professionalism and efficiency. Serve as the first point of contact for the office, greeting clients and visitors with warmth and care. Set up and manage client WhatsApp groups, ensuring regular updates and clear communication throughout their journey.

Diary & Time Management



Manage the team's diaries with precision, ensuring appointments, valuations, and key milestones are scheduled efficiently. Prioritise time-sensitive tasks and ensure smooth coordination between clients and team members.

Sales Progression Support



Conduct proactive "Keeping in Touch" calls to provide clients with updates and reassurance throughout the sales process. Handle reactive management tasks within sales progression, ensuring any issues or delays are addressed swiftly and effectively. Prepare settlement documentation accurately and in line with company procedures.

Office & Team Support



Work closely with the Sales Administrator, providing cover and support where required. Coordinate "For Sale" and "Sold" board updates and installations. Manage invoicing processes accurately and on time.

Client Conversion



Identify potential clients, book valuations, and promote our recommended services to maximise opportunities for the business.

Package



Salary:

30,000 - 35,000 (dependent on experience and skillset)

Full-time, permanent role

30 days' holiday
