Term time only - Salary - (Pro Rata 23850 -25000 )

Hours of work - 37.5 hrs per week - Monday - 8.30am to 5pm (due to staff meeting) , Tuesday to Thursday - 8.30am - 4pm and Friday 8.30am to 3pm.(please note that the staff meeting day can be subject to change with notice).

About the role:

We are looking for an Office Administrator/Receptionist to work in a busy and challenging Reception/Office for 37.5hrs per week. You will need to have a calm and flexible attitude to work as well as being highly organised and able to effectively prioritise workload. Experience of working with Microsoft Office and good skills in Excel and Word are essential. You will be an important part of the team that keeps things running smoothly, supporting staff, pupils and parents with day-to-day administration.

What you will be doing:

Answering phones, emails and welcoming visitors to the school.

Carrying out office-based tasks to support the smooth running of the school that include:

Signing in procedures followed for all visitors, ensuring all checks are made and appropriate supervision takes place if needed.

Daily attendance procedures - recording on Arbor, phone calls to follow up non-attendance. Reporting attendance to schools and LA as required.

Ensuring all safeguarding procedures are followed, reporting concerns as required. - Safeguarding training to be provided.

Creating and maintaining student files- paper based and on Arbor.

Logging and collating data producing reports for student behaviour, academic progress etc.

Inputting deadlines etc into school calendar, ensuring that deadlines are met and reporting to SLT any missing info.

Supporting the organisation of school trips and visits as required.

Ensuring routine/ad hoc maintenance/repair tasks are completed in a timely manner.

Ordering items as needed - School lunches daily, stationery and cleaning supplies etc as needed.

Supporting staff with letters, forms and other admin tasks.

Person specification

Qualifications & Training

Essential:

Good standard of general education (GCSEs or equivalent in English and Maths). Confident in using IT systems (Microsoft Office, email, databases). Commitment to safeguarding and promoting the welfare of children and young people.

Desirable:

Training or qualifications in administration, customer service or IT. First aid training, or willingness to attend training.

Experience

Essential:

Experience of working in an office or administrative environment. Experience of using IT systems for data entry, record keeping and communication. Experience of dealing with members of the public, face-to-face and by phone.

Desirable:

Experience of working in a school or educational setting. Experience of handling confidential information appropriately.

Skills & Abilities

Essential:

Strong organisational skills and attention to detail. Ability to prioritise tasks and manage time effectively. Clear, friendly and professional communication skills (written and verbal). Ability to work calmly under pressure and adapt to changing situations. Ability to work as part of a team and independently.

Desirable:

Experience of using school-specific software (e.g. SIMS, Arbor, or similar systems). Experience of producing letters, newsletters or other written communications.
