About the role



JOB PURPOSE



In this fixed-term Records Management Specialist role you'll form part of our small but highly specialised team providing end-to-end records management services for Perceptive operations around the globe, managing assigned project specific documentation for Clients and other external bodies.


KEY ACCOUNTABILITIES



Data Management



Assisting in providing accessibility, retrievability, security, and protection of data in an ethical manner. Maintaining accurate information in project data tracking systems.

Service Level Management



Monitoring and logging the actual service provided, compared to that required by service level agreements.

Customer Support



Responding to common requests for service by providing information to enable fulfilment. Promptly allocating unresolved calls as appropriate. Maintaining records, informing users about the process, and advising relevant persons of actions taken.

Security Administration



Receiving and responding to routine requests for security support. Maintaining records and advising relevant persons of actions taken. Assisting in investigating and resolving issues relating to access controls and security systems.

Quality Assurance



Contributing to the collection of evidence and the conducting of formal audits or reviews of activities, processes, data, products or services. Examining records for evidence that appropriate testing and other quality control activities have taken place and determining compliance with organisational directives, standards, and procedures. Identifying non-compliances, non-conformances and abnormal occurrences.

Sales Support



Communicating effectively with customers by telephone and in person. Assisting in the provision of customer service, including technical advice and guidance on matters bearing on the successful use of products and services. Assisting in devising solutions to customer requirements and solving straightforward problems.

Office Management



Completing office management tasks such as processing invoices, maintaining physical folders and interacting with vendors.

SKILLS REQUIRED



Excellent interpersonal, verbal, presentational and written communication skills A flexible attitude with respect to work assignments and new learning Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail Must have the ability to work methodically in a fast-paced, time-sensitive environment Demonstrable ability to apply critical thinking to problems and tasks Shows initiative and self-confidence, is adaptable and is able to cope with changing and evolving priorities Ability to identify and implement process improvements Proactively participates in skills improvement training and encourages their teams to participate Maintains an up-to-date awareness of trends, tools, technology, techniques and processes that affect technology within the Life sciences domain A self-starter and able to work under own initiative Proven competence with Microsoft Office products (including Word, Excel & PowerPoint)

KNOWLEDGE & EXPERIENCE



Experience working in the same or similar role in - and knowledge of - the Life Sciences sector Good knowledge of the relevant sections of Good Clinical Practice (cGCP) and EU Regulation Clinical trials Experience of regulated environments (methodologies) Experience using tools to communicate progress to Stakeholders Solid knowledge and understanding of documentation lifecycles

EDUCATION



GCSE / Level 2 qualification (Grade 4 and above) in English, Maths & IT or equivalent experience English: Fluent
