The Role
As the receptionist/clinic coordinator you will be the first point of contact for our clients. You'll ensure the clinic runs smoothly day to day, while delivering a warm, professional and efficient experience from the moment a client walks through our doors.
You will be responsible for:
Greeting clients and creating a welcoming environment
Managing the appointment diary and clinic schedule using booking software
Handling phone and email enquiries with professionalism and care
Taking payments and managing retail sales
Assisting with day-to-day coordination of clinic operations
Supporting practitioners with treatment room readiness and administrative tasks
Ensuring reception and retail areas are clean, organised, and well-stocked
Assisting with social media, email marketing, and client engagement (marketing experience preferable)
Helping to drive client retention and loyalty through excellent service
Key Attributes and Skills
Excellent customer service skills and a warm, professional demeanour
Exceptional communication and interpersonal skills
Highly organised with strong attention to detail
Ability to multi-task and remain calm under pressure
Comfortable working both independently and as part of a close-knit team
Tech-savvy and comfortable using clinic software and Microsoft Excel
Passion for skincare, wellness, and aesthetic treatments
Preferred Experience
Prior experience working in a skin clinic, spa, aesthetic or beauty setting
Experience using booking/clinic management software (e.g., Timely, Phorest)
Background in marketing or social media coordination is highly desirable
Understanding of cosmeceutical skincare brands and basic skin knowledge is a plus
