: This role will be based from our Head Office in Hemel Hempstead with hybrid working opportunities.
What you will be up to
-
This role sits within the recruitment team and the overall HR department. As a Recruitment Coordinator you will be supporting the Onboarding function with processing all offers (sending contracts and offer packs), submitting vetting and Right to Work checks, saving down new starter paperwork and keeping managers informed of their acceptance to the offer, and ensuring a smooth onboarding process for new starters. This role is an administrative role which is fast paced with high volumes and is critical to the success of our business. This role is an ideal opportunity for someone who is either starting their career in HR or comes from a HR or administrative background.
Key responsibilities:
Managing the Onboarding inbox, acting as a main point of contact for new starters and managers with any queries
Attending weekly recruitment meetings
Creating and issuing contracts and offer packs to our new starters in UK and Ireland.
Quality checking of all documentation received from the recruitment team to ensure contracts are accurate and in line with company guidelines and reflecting the approved offer
Submitting Right to Work, DBS checks and Financial Probity checks for our new starters via Zellis Background Checking portal.
Arranging occupational health appointments
Reviewing vetting and occupational health reports and escalating where necessary
Attending quarterly vetting meetings
Quarterly account management calls with our service providers
Managing our Gov UK Apprenticeship portal, ensuring all our apprentices are added to the system, training agreements are reviewed and signed and supporting finance with invoice processing.
Request email address and account set up with our IT department
Create Employee numbers for payroll
Carry out DBS renewals
Creating a maintaining our standard operating procedure documents and Q&A list
Keeping log of onboarding activity by managing the weekly/monthly tracker spreadsheets and sending reports to Payroll, Marketing and our recruitment team.
Taking part in ad hoc audits for the recruitment team
Qualifications
Essential

(it would be good to have):
Background in HR / Recruitment / contract management
Experience with requesting vetting checks such as Right to Work and DBS
Experience with handling employee references
Previous experience working in HR
Experience of Zellis Background Checking, Resource Link & Smart recruiters
Experience using Microsoft Teams
Creating and updating standard operating processes
