About the Role

We are seeking a highly motivated and detail-oriented Remote Administrative Assistant to provide critical operational and client support for our fast-paced real estate business. This is a full-time, 100% remote position open to qualified candidates globally. The ideal candidate is a proactive problem-solver with exceptional organizational skills who can manage complex administrative tasks in a virtual environment.

Compensation, Schedule, and Equipment

Employment Type: Full-Time, Remote Work Schedule: Monday to Friday, 37.5 working hours per week. Lunch Break: A structured 1-hour lunch break is provided daily. Equipment: The company is committed to setting you up for success and will provide all necessary IT equipment, including a laptop, monitor, and accessories.
Key Responsibilities

The Administrative Assistant will serve as the organizational backbone of the business, focusing on seamless operations and high-quality support. Responsibilities include:

Transaction Coordination Support: Assist with the organization and tracking of client files, ensuring all contracts, disclosures, and documents are filed accurately and on time in the cloud-based system. Client Communication: Handle routine client and vendor inquiries via email and phone, maintaining a professional and courteous demeanor that reflects our brand's high standards of customer service. Calendar Management and Scheduling: Manage the Agent's complex schedule, including setting appointments for client meetings, property showings, inspections, and closing dates, while proactively resolving scheduling conflicts. Digital Filing and Database Maintenance:Maintain and update the Customer Relationship Management (CRM) database, ensuring all client and lead information is current and accurate. Administrative Tasks: Draft professional correspondence, prepare basic reports, manage virtual files, and assist with light marketing activities (e.g., scheduling social media posts). Problem-Solving: Serve as the first point of contact for operational challenges, using excellent problem-solving skills to find effective and efficient solutions.
Qualifications and Requirements

To ensure success in this demanding role, all applicants must meet the following mandatory criteria:

Education: Must be educated to a degree level(Bachelor's degree or equivalent) from an accredited institution. Experience: A minimum of 2 years of recent, verifiable experience in an administrative, clerical, or executive support role is required. Skills: Exceptional written and verbal communication skills, especially in English, and strong proven customer service skills. Reliability: Demonstrated history of reliability, commitment to deadlines, and the ability to work effectively and independently without direct supervision. Technical Proficiency: High proficiency in Microsoft Office/Google Workspace and experience with cloud-based systems and virtual meeting platforms (e.g., Zoom, Google Meet). Internet Access: Must have a stable, high-speed internet connection suitable for video conferencing and large file transfers.
