The Scar Free Foundation is a team of six highly motivated people who are spread across the UK. We're looking for a Research Grants Coordinator (Part-time) to join us in our mission to achieve a #ScarFreeFuture.

This is a hands-on, varied role for someone who enjoys building relationships, managing multiple projects, and supporting a small, ambitious charity to achieve its income goals.

ABOUT THE ROLE



This is a role for a confident, detail-oriented professional who can coordinate grant management processes, prepare high-quality committee papers, and maintain excellent relationships with the Foundation's researchers, advisors and other stakeholders.

Working with the Deputy CEO, you will be responsible for the administration of the Foundation's research portfolio, supporting our mission to deliver transformative research that reduces the limitations of scarring now and lays the groundwork to eliminate scars in the future.

In addition, you will play a role in delivering external events such as research meetings, public lectures and engagement activities.

JOB DESCRIPTION



Main tasks and responsibilities:

Research Grant Administration

Administer research grant application, review and reporting processes,ensuring compliance with industry and internal standards. Coordinate meetings of the Research Council and Advisory Panels; prepare agendas and papers, minute meetings, and follow up on actions. Maintain accurate records and files for research projects and grants.
Governance and Reporting

Assist with the gathering of research content for Board of Trustees papers, donor reports, and impact reporting. Support the Deputy CEO in monitoring progress towards strategic research objectives.
Event Support

Coordinate for the Foundation's event calendar, liaising with all staff members to ensure the delivery of our programme of events is smooth and efficiently coordinated to include;
Overseeing invitations and attendee lists.

Coordinating team member contributions towards event delivery.

Production of running orders and other materials.

General

Act as a key point of contact for researchers, university, and NHS staff, ensuring professional and efficient communication. Maintain accurate and well-organised records and documentation across allareas of responsibility. Contribute to the continuous improvement of grant management and event coordination processes. Provide administrative and logistical support to the Deputy CEO and wider team as required.

Positive and flexible attitude to working on new initiatives. Excellent interpersonal skills with an ability to build effective relationships internally and externally. Ability to work under pressure, to effectively plan and prioritise a complex and varied workload, and to undertake multiple tasks concurrently. The ability to constantly challenge and improve self and others, demonstrating ambition for self and the Foundation to achieve goals.
Essential Experience and Skills

Proven experience in an administrative/coordination role for 3+ years. Excellent written and verbal communication skills, with strong attention todetail. Proven ability to schedule and manage meetings, produce accurate minutes,and follow through on actions. Demonstrable experience in planning, coordinating, and delivering projects and events from inception to completion. Proven ability to work independently while managing multiple priorities and collaborating effectively within a small, dispersed team. Strong IT skills, including MS Office and CRM use.
Desirable Experience and Skills

Experience in grant administration/project management. Experience of working in the not-for-profit sector. Experience working with medical research charities, universities, or the NHS. Experience with Raiser's Edge and project management tools. Interest in medical research, visible difference and the impact of significant scarring.
