Detailed Description

We are seeking to appoint a part- time administrative assistant (21 hours per week, Monday to Friday, but working pattern is negotiable) to support the Head of Research Institute and to co-ordinated operations within the Biological Chemistry, Biophysics and Bioengineering (IB3) Research Institute within the School of Engineering and Physical Sciences, and provide cover for the other Research Institutes.

An ability to initiate and complete tasks to the highest standard is essential. Good organisational, interpersonal and communication skills are also vital to this role, as are numeracy and IT (Microsoft Office) skills. This is one of 5 Research Institute secretaries within the School and reports to the Head of Operations, Claire Porter. This post will suit a self-motivated individual who is able to work flexibly and willing to play a key role in shaping the operation of the Research Institutes within a challenging and changing environment.

The post holder will provide a strategic and operational overview of secretarial needs within the Research Institutes and support in terms of personnel and welfare issues. The post holder will work closely with the Director of Research Institute and members of the research team.

Key Duties and Responsibilities

  • Secretarial support services to Research Institute members including diary management, booking travel/accommodation, arranging meetings, organising events and other tasks as required
  • Circulating agendas, taking and circulating Minutes
  • Dealing with staff, students and visitor enquiries on a daily basis in person, by telephone and email
  • Liaise with PGR office to assist with monitoring of Institute PhD students
  • Assisting with production of research grant applications, draft reports, finance spreadsheets, handouts/lab manuals, student theses, and other documentation.
  • General office tasks such as photocopying, filing, sorting and delivering mail, ordering stationary etc.
  • Updating content in Research institute webpages
  • Other/ad-hoc duties as appropriate including support/cover for other secretarial colleagues in EPS research institutes or reassignment to accommodate the needs of secretarial support services within the School
Education, Qualifications and Experience

Essential
  • Literacy and numeracy skills equivalent to SCQF Level 5 (Standard Grade Intermediate/Credit or similar or equivalent experience
  • Experience of working with professional colleagues
  • Competent in the use of relevant IT MS packages
  • Well-developed interpersonal skills
  • Demonstrable professional and proactive approach
  • Demonstrable ability to work quickly, flexibly and accurately in a dynamic, changing and pressured environment
  • Demonstrable provision of excellent customer service
Desirable
  • Educated to SCQF Level 6 (Highers) or equivalent qualification
  • Experience of working in an academic environment
