SUMMARY OF POSITION


What's the Gig, you ask?


As a Reservation Executive you will be responsible for responding to phone calls and emails from prospective guests and clients. This role will act as a front line ambassador for Clays and will often make the' first impression' to our guests as the voice and personality of the brand.


You will have a delightful and engaging telephone and email manner and the service you provide will make our guests feel valued and reflect the exceptional experience to come. The ideal candidate will have excellent organisational skills, a confident phone manner and outstanding communication skills.


Working closely with Sales, Events and Operations teams you will be responsible for preparation and distribution of daily run sheets which are key to ensuring that events run smoothly. During the busier periods you will be on hand to assist the Events team on smaller events.


DUTIES & RESPONSIBILITIES


Your role will include but may not be limited to the following responsibilities;

Responding to email and telephone enquiries in a professional and courteous manner to maximise the customer experience Receive and record guest data in the reservation system ensuring all bookings are recorded correctly and client preferences are noted. Ensure that all customer queries or requests are handled in a polite and efficient manner Prepare and communicate run sheets with relevant detail to the management and in venue team Work collaboratively with Sales, Events and Operations teams to ensure bookings are effectively handed over to ensure a seamless guest experience Support Event inboxes during peak period Ad hoc administrative tasks for the Sales and Events teams.

SKILLS, DESIRED QUALIFICATIONS & ATTRIBUTES

Experience in a similar role in hospitality and reservations A keen eye for detail with excellent written and verbal communication skills Experience in working with a CRM & Reservation systems (eg Sevenrooms and Salesforce) Strong organisational and time management skills to handle multiple inquiries and tasks efficiently Passionate about hospitality and creating amazing, safe and lasting experiences Understanding of run sheets, function sheets Excellent understanding of menus and packages Always looking for opportunities to improve your knowledge and abilities Take initiative, can solve problems, calmly and work well under pressure Be polite and helpful to guests and colleagues and receptive to feedback Have great organisational skills with the ability to manage and prioritise your workload and different tasks Willingness to assist with events and adapt to the needs of the business during busier periods. Punctual and reliable with a flexible approach to work Ability to build lasting relationships with colleagues and clients Honest with strong moral principles
