Location: Leatherhead, Surrey (hybrid after probation)
Hours: Full-time, 37.5 hours/week
Salary: Competitive and negotiable based on experience
Holiday: 26 days plus bank holidays


Summary


We're seeking an experienced and detail-oriented Sales Administrator to join our growing team. This role supports a wide range of commercial and operational activities -- from processing customer orders and maintaining CRM records to preparing quotes and supporting logistics and training delivery. You'll also play a key part in general office administration and act as a first point of contact for many of our customers and visitors.


This is not an entry-level role. We're looking for someone with at least 3 years of experience in an administrative position, ideally with hands-on experience using a CRM (preferably HubSpot), processing purchase orders, and working with e-commerce systems.


You'll report to our Sales Support and Sales Admin Manager and join a fast-paced, adaptive, and friendly team that supports a global customer base. The successful candidate will be based full-time in our Leatherhead office during their 3-month probation period. After this, hybrid working (typically 2 days per week in the office) will be introduced.

Key Responsibilities


Sales Administration


Manage customer orders through our e-commerce platform (aroxa.com)
Prepare and issue quotes
Process purchase orders and handle sales documentation with accuracy
Collaborate with logistics to ensure prompt, accurate delivery
Maintain and update CRM records (HubSpot)
Support the sales team with quotes, order processing, and customer invoicing
Assist with credit control and payment follow-ups


Customer Relationship Management


Build and maintain strong relationships with internal and external customers
Communicate clearly and professionally via email and phone
Ensure CRM data is accurate, organised, and up to date


Customer Support


Respond to queries related to the Taster Validation Scheme (TVS)
Provide support through our CRM (HubSpot) and issue login details as needed
Maintain high product knowledge to assist customers confidently


Training Course Support


Organise travel and accommodation for training sessions
Prepare training rooms and course materials
Assist in sample setup and course coordination
Occasionally support on-site training (typically 1-2 trips per year, each 2-5 days)


General Office Administration


Manage office supplies and reordering
Answer incoming calls and direct appropriately
Greet visitors and prepare meeting rooms for external guests
Support general office operations
Education, Experience, & Personal Characteristics


Essential:


Minimum of 3 years' experience in a sales administration or similar role
Strong working knowledge of CRM systems (preferably HubSpot)
Experience processing purchase orders and quotes
Familiarity with e-commerce platforms and/or online order systems
Proficient in Microsoft Office (particularly Excel and PowerPoint)
Excellent written and verbal communication skills
High attention to detail and organisational skills
Ability to manage multiple tasks in a fast-paced environment
Willingness and ability to travel internationally (up to 2 weeks/year)


Desirable:


Bachelor's degree or equivalent professional experience
Experience with accounting tools such as Xero
Knowledge of ISO 9001:2015 or similar quality systems
Strong customer service mindset and flexibility to support other areas of the business
