Job Purpose
We are seeking an experienced administrator to provide essential support to the sales and planning functions, ensuring the efficient handling of sales processes and internal coordination. Key responsibilities include dispatching sales orders, liaising with suppliers, maintaining customer portals, managing compliance documentation, processing customer requests, and ensuring accurate record-keeping. This office-based role plays a vital part in the timely invoicing of customers and supporting the smooth operation of the sales team within the wider framework of a drainage services business.
Main Tasks and responsibilities
Accurately dispatch sales orders daily to support timely invoicing.
Process supplier invoices and credit notes, ensuring they match associated sales orders with a high degree of accuracy.
Update and maintain customer portals to support efficient invoicing and payment cycles.
Liaise effectively with both customers and suppliers to resolve queries and support service delivery.
Manage daily job reports, applying amendments as needed across job records and internal systems.
Organise and maintain structured filing systems for compliance documentation and audit readiness.
Produce and circulate daily sales and performance reports to internal stakeholders.
Respond promptly and accurately to internal customer requests, ensuring a high standard of service.
Maintain detailed records of waste disposal and third-party works in line with environmental and industry regulations.
Provide occasional customer service support, including handling incoming calls and emails.
Role requirements
GCSEs (or equivalent) including English and Maths (Grade C/4 or above).
Proficient in Microsoft Office applications, particularly Excel and Outlook.
Basic understanding of administrative processes and record-keeping.
Desirable:
NVQ Level 2 or 3 in Business Administration or equivalent.
Experience using industry-specific software or CRM systems.
Skills:
Strong written and verbal communication skills across all formats.
Excellent attention to detail with a high level of accuracy in all tasks.
Proactive and focused, with the ability to work at pace and meet deadlines consistently.
Highly organised, with the ability to manage workload efficiently and maintain productivity.
Self-motivated and capable of working independently with minimal supervision.
