Sales & Events Co-Ordinator



Job Purpose - As Sales an Events Co-ordinator you will be proactive in generating both new and repeat business and handle a variety of event enquiries ranging from professional meetings to private functions, conferences and weddings.

Location - Gregynog Hall, Tregynon

Hours - 35 per week

Responsibilities - The Sales and Events Co-ordinator is a key member of the Gregynog team. Responsible for generating income for Gregynog, the Sales and Events Co-Ordinator will make a valuable contribution to the charity by driving sales, developing our networks, and building relationships with the clients, companies and artists who use our meeting, event, office, theatre and rehearsal spaces.

Every week we welcome a range of clients including commercial and subsidised theatre companies; film, TV and media companies; conference and event organisers, and community and not for profit groups. This is a great opportunity for an organised and proactive individual to join a busy working venue, assisting with sales, enquiries and bookings and the planning and running of events.

General



Act as first point of contact for Sales and Events, responding to incoming calls and emails in a clear, accurate and professional manner. Provide client quotes and manage bookings for rooms ensuring client are dealt with promptly and professionally. Give venue tours to potential hirers, answering their queries and upselling the venue and its associated in-house services. Build relationships with new and existing clients in order to obtain both new and repeat business and maximise opportunities Create and maintain a database of enquirers, producing reports and analysis as required. Manage all accommodation, bedroom bookings and enquiries. Manage holiday rental bookings and enquiries

Event Planning & Delivery



Liaise with the Chief Operating Officer and Front of House Manager to establish operational requirements of each event, including furniture, technical services, equipment, catering and staffing. Ensure all booking information and requirements are updated on Rezlynx and finance systems. Complete event briefing forms in advance of a hire or event. Ensure Risk Assessment Forms are completed where necessary Assist in planning and running events Provide on-the-ground event support

Administration



Work with the Finance Team to raise invoices and manage deposits and payments. Support the Operational and Finance Teams with reports, reconciliations and debtors. Develop and maintain mailing list in line with GDPR. Deal with general enquiries from the public. Maintain the Membership Database, add new members, send out reminders for renewals. Answer the phone Provide general clerical assistance

Qualifications



Essential - Knowledge of Rezlynx Booking System

Skills, Knowledge & Experience



Essential - Experience in Sales Environment, Excellent Organisational Skills, Attention to detail, Flexible, "Can-do" attitude.

Desirable - The ability to speak Welsh
