specialising in high-quality, bespoke vehicle builds for a diverse client base. We are looking for an additional dedicated

Sales & Production Administrator

to be the crucial link between our sales team, our workshop, and our valued customers.

This is a fast-paced role where your accuracy and efficiency directly impact our order fulfilment and customer satisfaction.

Key Responsibilities



Sales Order Administration



Accurately process new vehicle/conversion orders from initial sale through to final delivery documentation. Check and compile all required paperwork, including pricing, purchase orders, order acknowledgements, and upload all relevant information to the company database, ensuring that information required by other stakeholders is issued. Maintain the company database accurately and coordinate as necessary with customers, vehicle dealers & inhouse departments such as accounts & purchasing.

Production Coordination & Liaison



Administer and manage the live production schedule, working closely with the Production Team to track all active vehicle builds. Ensure a seamless flow of information between the Sales and Production team to prevent delays and resolve specification queries quickly. Create job cards, and workshop instructions based on confirmed customer specifications. Report on a weekly basis to the Management Accountant the production progress to ensure invoicing instructions are gained in a timely manner. Liaise with the Approvals Manager over any Individual Vehicle Approvals (IVA) required.

Customer Service & Communication



Act as a primary contact for customers, providing proactive and timely updates on their vehicle's build status and estimated delivery dates. Efficiently handle and log customer queries related to order changes, specification details, and timescales. Liaise closely with the sales team and support as necessary.

Financial & Reporting Support



Check that all information on the database is kept updated & accurate to allow the accounts department to raise accurate sales invoices, parts invoices, and credit notes. Assist the management team with generating reports on the sales pipeline, production efficiency, and delivery performance.

What We're Looking For



Essential Skills



Proven administrative experience, ideally gained within the automotive, commercial vehicle, or manufacturing/engineering sectors. Exceptional organisational skills and an almost obsessive attention to detail and accuracy. Confident and professional communication skills for liaising with customers and internal teams. Strong proficiency in Microsoft Office Suite (especially Excel and Access) and experience using CRM software (HubSpot).

Job Types: Full-time, Permanent

Pay: 25,500.00-28,500.00 per year
