Job Summary:
The Sales Support Manager oversees and streamlines the administrative functions that support the Sales team. This role ensures the smooth operation of sales processes, manages Sales Support staff and Sales Logistics drivers, ensures compliance with company policies, and provides data-driven insights to sales leadership. The ideal candidate is detail-oriented, highly organised, and experienced in managing both people and processes.
Key Responsibilities:
Sales Operations & Support
Supervise daily administrative operations that support the Sales department
Allocate deal packs to Sales Support Executives for processing through to completion, ensuring accurate WIP and registration forecasting
Ensure accurate and timely processing of customer orders, quotations, contracts, and invoices
Authorised vehicle registration
Manage sales documentation, pricing approvals, and accurate deal profits
Collaborate with MBVUK and DTUK, Logistics, Finance, and Aftersales to ensure successful order completion
Manage price protection/changes with the manufacturers to ensure accurate costs and invoicing
Manage the government EV grant process with the manufacturers to ensure successful and accurate application
Oversee the waiver of lien process with suppliers
Administration of the MID database and trade plates
Ensure weekly stock checks are completed and recorded.
Team Management
Lead, coach, and develop the Sales Support team
Lead and coach the Sales Logistics team
Allocate tasks and manage workloads to meet departmental objectives
Conduct regular performance reviews and training sessions
Oversee fleet build programmes.
Reporting & Analysis
Generate and analyse sales performance reports, forecasts, and KPIs
Support budgeting and sales planning activities
Identify trends and provide actionable insights to sales leadership
Review outstanding deal costs and provisions
Assist the Sales Director with annual target and allocation discussions with the manufacturers
Provision of management reporting to assist with steering of sales activities.
Process Improvement & Compliance
Continuously improve administrative processes to increase efficiency
Ensure compliance with internal policies, legal requirements, and customer SLAs
Monitor stock levels, the specifications of unsold vehicles and oversee the distribution of stock to all sites for display and storage
Additional tasks as required appropriate to the role.
Requirements:
Essential Criteria:
Minimum of 5 years' experience in sales administration or operations
Strong leadership and team management skills
Excellent communication and interpersonal abilities
Proficient in a recognised DMS
Advanced knowledge of Microsoft Office Suite, especially Excel
Analytical mindset, attention to detail focus on data accuracy
Understanding of the financial consequences on the business - cashflow, forecasting, cost control etc.
'Can do' attitude
Full UK driving licence.
Desirable Criteria:
Previous experience in a sales administration managerial role
Experience in the motor trade
Proficient in Autoline / Keyloop DMS.
