Job Overview


This role is the operational backbone of our Samples function. You will be responsible for sample movement, stock integrity, reporting, and operational planning. You will also act as a point of escalation for day-to-day operations.

This is a hands-on role, combining warehouse coordination with administrative precision, data management, and cross-functional communication.

Duties



Operational Ownership - Samples, SMS


- Oversee the smooth, efficient operation of SMS seasons and sample workflow

- Ensure all sample movements are accurately tracked, recorded, and delivered in a timely manner.

- Maintain sample library integrity, ensuring stock is stored correctly, rotated appropriately, and accessible.

- Coordinate efficient movement of stock between HQ and GXO Warehouse ensuring accurate receipts and dispatches.

- Ensure all internal and external sample requests are processed accurately and on time.

- Maintain showroom stock and manage clear-downs when required.

- Uphold safety, cleanliness, and housekeeping standards across all sample locations.

- Identify issues within SMS processes and lead problem-resolution.

Logistics, Shipping & Documentation



- Manage booking of all outbound parcel shipments, ensuring timely and accurate dispatch.

- Monitor and chase inbound sample shipments, keeping stakeholders updated.

Administration, Reporting & Financial Control



- Own all reporting for Samples operations, providing accurate and timely data.

- Maintain accurate stock records, tracking all physical movements through the system.

- Ensure process is followed and help maintain operational discipline within the team.

Cross-functional Support & Coverage



- Act as point of contact for internal and external stakeholders regarding samples, and SMS activities.

- Work closely with Design, Buying, creative, wholesale, production, Showroom, and external partners to ensure sample flow meets business needs.

- Work flexibly across SMS processes depending on business priorities

Skills



- Experience in warehouse, logistics, or sample management.

- Strong IT skills, particularly excel

- High accuracy and attention to detail in fast-paced, time-sensitive environments.

- Strong communication skills with ability to work across teams and functions.

- Proven ability to problem-solve and make sound operational decisions.

- Self-motivated, organised, able to prioritise workload and meet deadlines.

- Comfortable working both independently and as part of a team.
