The post holder will manage Computer Aided Facilities Management (CAFM) system providing a comprehensive support service in terms of ensuring all reactive calls are logged daily and list of assets for each contract are updated on the CAFM system, scheduling PPM in line with SLA and relevant legislative requirements, issuing of PPM job cards, updating the system with all completed jobs. Also the issue of performance reports, which includes jobs completed in time, outstanding and overdue. This is a key role interfacing directly with senior managers and clients requiring considerable use of judgment, discretion, tact and diplomacy. It is an essential role in the team that will ensure the efficient operation of the CAFM system.
The role of CAFM Coordinator will be responsible for scheduling Service Engineers across the Urenco Campus managing resources to optimise performance, in a target driven scheduling environment, recognising and considering, skills, availability and location. To schedule all reactive and planned work to the correct resource, paying attention to response targets, geographical locations and technical expertise delivering:
Asset verification across the system and estate
Updating of new assets and PPM changes
Task set descriptions to be reviewed and aligned to manufacturers guidelines and industry standard (SFG20)
To train operational teams in the CAFM system
Performance Monitoring of the system to include audits
The collection and provision of data to all maintenance operations and issuing of performance reports
Key Responsibilities
Support the Urenco Campus as necessary using their SAP system
Ability to work flexible hours as necessary to meet the needs of the business
Ensure tasks are completed in line with the PPM planner & SLA's/KPI's
Tracking job progress against pre-determined KPI's including maximum allowable response and rectification times and implementing escalation procedures
Updating asset history with works record sheets. o Uploading and amendment asset information as held in the helpdesk and CAFM system o Assist Managers with implementing procedural changes and training, including the production and maintenance of required documentation. o Maintain an effective filing system for all documentation related to the CAFM System, not limited to performance reports on jobs completed in time, outstanding and overdue.
Any general administrative duties as may be reasonably required by the management.
Good sound knowledge and experience in Software or Firmware development and manipulation.
Proficient with Microsoft office applications (including Outlook, Word, Excel, Publisher, PowerPoint and Visio).
Proven experience within a similar role, working with an extremely busy team and with very high standards.
Excellent numerical and verbal skills.
Strong communication, organisational and administration skills, including editing skills and a keen attention to detail.
Have worked in an environment where confidentiality is important.
Articulate and thorough, showing attention to detail.
Ability to work both independently and as part of a team.
Pro-active, demonstrating initiative and anticipates needs.
