The Scheme Manager is a member of the team who works together to ensure the quality and sustainability of the Charity and its work. The team includes the Trustees, the Charity Administrator, the Charity Bookkeeper, the out-of-hours call service, utility providers and a range of contractors.
PRINCIPLE DUTIES AND RESPONSIBILITIES
Resident Welfare
To monitor and record, and review when appropriate, the well-being of each resident on a regular basis, as required by the Green and Slater Scheme Manager's Welfare Responsibilities for Residents' protocol.
Have responsibility for Safeguarding and Health and Safety across the scheme.
To take immediate action in the event of an emergency, summoning assistance from the appropriate authority.
Maintain good working relationships with out-of-hours service provision, local GPs, Social Services and Health and Care service personnel and providers.
To positively promote a good community spirit and resident participation by organising or supporting residents in organizing social events and activities to enhance the resident's quality of life.
Providing a well-maintained estate and grounds
Ensure all repairs, utility and maintenance problems are resolved within the organization repair and maintenance protocol.
Ensure the efficient operation of all equipment such as the on-site call and fire protection systems and recording regular routine maintenance inspections of this equipment.
Manage all aspects of health and safety on the scheme carrying out and recording of daily, weekly and monthly safety checks as required, including fire evacuation tests.
Undertake property and site management tasks and responsibilities as requested by the Trustees.
Call out and oversee the work of contractors carrying out repairs within the limits of delegated authority and authorizing payment of work when satisfactorily completed.
Evaluate and make recommendations to trustees in respect of non-urgent repairs and sustainability improvements in line with current building practice, using appropriate professional advisors where appropriate.
Lettings, Occupancy and Resources Management
Work with the Charity Administrator in the implementation of Occupancy Charges administration.
Work with the Trustee in relation to the selection and appointment of new residents.
Work with the Trustees and the Charity Administrator in relation to the administration of applications and the waiting list system.
Manage the processing of void flats, and sign-up and settling in of new residents.
Address any issues with residents about non-compliance of Occupancy rules and regulations, including any issues or concerns regarding payment of occupancy charges.
Manage the use of all communal areas and resources.
Administration, governance, finance and record keeping
Liaise with the Charity Administrator to ensure that all invoices and other payments are processed in accordance with organization protocol.
Work with the Charity Administrator in respect of the management of Resident Occupancy Charges.
With the Charity Administrator manage and maintain the logging and documentation of activities and events using the required procedures and resources.
Work alongside the Charity Administrator to update and maintain files and records.
Inform the Trustees of any potential situation that may have an adverse effect on the Trusts reputation or a negative effect on the resident's living environment.
Be familiar with and implement all policies and procedures.
Work with the Trustees and the Charity Administrator to write, review and update policies and protocols that are required as part of the Charities legal and other responsibilities.
Additional duties and responsibilities.
Provide line management support for the Charity Administrator
Maintain contact with Almshouse Association and make use of and share relevant resources provided by that organization
Promote the work of Green and Slater and safeguard its good name and reputation at every opportunity.
Adhere to Green and Slater Policies and Procedures.
Be aware of personal safety and security when carrying out work.
Adhere to Green and Slater Safeguarding Policy and report any concerns regarding an individual's safety.
Maintain privacy and confidentiality in line with Green and Slater policies and procedures.
Respond to enquiries and calls in a professional and knowledgeable way.
Attend events, training and meetings as required.

PERSON SPECIFICATION
Essential:
Experience of providing housing management services and support in a supported housing setting.
Experience of conducting property inspections and addressing maintenance needs.
Experience of tenancy and property management issues.
Experience of managing health and safety and fire safety within a supported housing environment
Ability to respond to the support needs of older adults in a sensitive and solution focused manner.
Knowledge and skill in the practice of Adult Safeguarding
Ability to respond to emergency situations in a calm and professional manner.
Ability and willingness to follow the guidance, protocols and procedures required of the post.
Effective written and verbal communication skills in one-to-one and group contexts.
Ability to use and maintain written records to a high professional standard.
Competent in the use of ICT for administrative tasks, communication and accessing information.

Desirable:
A degree in Housing Management, Social Work or similar
Level 3 (or above) Certificate in Housing Management Chartered Institute of Housing (CIH).
Experience of financial responsibility in a paid or volunteer role.
Experience of delivering line management.
Experience of facilitating social/recreational events and meetings.
Understanding of welfare benefits and social care systems and provision
The role holder will need to provide two satisfactory references and the relevant Right to Work in the UK.
