Overview


We are seeking a dedicated and organised School Administrator to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office, providing essential support to various departments. This position requires a proactive individual who is capable of multitasking and managing administrative tasks efficiently.

The Administrator will also have the opportunity to train in a variety of roles such as finance and HR.

1. General School Administration



Act as the first point of contact for staff, parents, and external stakeholders. Manage the school's general office, ensuring efficient administrative systems and processes. Maintain accurate school records (attendance, admissions, learner data, etc.) in line with safeguarding and data protection regulations. Support SLT (Senior Leadership Team) with correspondence, scheduling, and document preparation. Coordinate meetings, take minutes, and distribute actions where required. Handle incoming/outgoing mail, phone calls, and enquiries in a professional manner. Maintain supplies, stationery, and school resources inventories.

2. Finance Administration



Support the Head of School and Finance Director with day-to-day financial operations. Process purchase orders, invoices, and staff expense claims. Reconcile petty cash and maintain accurate financial records. Assist with payroll preparation by collecting timesheets, absence records, and overtime claims. Monitor budgets, expenditure, and commitments; flag variances or overspend risks. Prepare and submit financial reports or summaries for SLT and governors. Support annual audit processes by providing documentation and reconciliations. Ensure compliance with financial procedures and internal controls.

3. HR Administration



Support recruitment processes, including advertising roles, shortlisting, and scheduling interviews. Prepare offer letters, contracts, and onboarding documentation for new staff. Maintain accurate staff records (DBS, right-to-work, absence, training, etc.). Coordinate performance reviews and probationary period documentation. Track staff absences, annual leave, and sickness records. Liaise with payroll to ensure accurate and timely salary payments. Ensure compliance with safer recruitment and GDPR standards. Support staff wellbeing initiatives and internal communications.

4. Compliance and Data Management



Ensure policies related to administration, HR, and finance are up to date. Support with census returns, DfE submissions, and local authority reporting. Assist with health and safety record keeping and risk assessment documentation. Support with GDPR compliance, maintaining secure systems for personal data.

Skills



Strong organisational skills with an ability to prioritise tasks effectively. Excellent verbal and written communication skills, with a focus on clarity and professionalism. Proficient in using office software applications (e.g., Microsoft Office Suite). Attention to detail with a commitment to maintaining high standards of accuracy. Ability to work independently as well as part of a team in a fast-paced environment. Experience in an administrative role is preferred but not essential; a willingness to learn is key.
