Fidelis College is seeking a highly organised, proactive, and approachable School Administrator to join our busy school office team on a maternity cover basis.


The successful candidate will play a central role in the smooth day-to-day running of the school, providing efficient administrative support to staff, pupils, and parents. This is a varied role requiring excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

General Administration



Act as the first point of contact for enquiries from parents, visitors, and staff. Manage shared inboxes (Admin, Absences, Matron, Print), ensuring timely responses and unsubscribing from irrelevant mail. Coordinate school-wide information such as extra-curricular clubs and activities for parents and staff. Maintain professional filing systems and support general office tasks as required. Prepare and print documents when necessary (e.g. for internal exams and other school use). Assist with the distribution of pupil materials (e.g. folders, ID badges, homework diaries, locker keys). Maintain the School Office sections of the archive.

HR & Compliance



Support HR administration, including processing DBS applications, assisting with safer recruitment paperwork, and maintaining staff compliance records. Print and file safeguarding certificates and update central records.

IT & Systems



Liaise with IT to set up new email accounts, adjust access permissions, and create staff logins. Support the School Manager with entering, managing, and analysing data within the school's Management Information System (iSAMS).

Supplies & Resources



Order and distribute supplies, stationery, exercise books, lanyards, and other resources for departments, Heads of School, and SLT. Maintain the School Office's stock of stationery and related supplies.

Admissions & Marketing



Act as the first point of contact for prospective families, providing a professional and welcoming service. Manage the admissions process: handling enquiries, organising visits, arranging assessments, and maintaining accurate records. Support the delivery of open events, tours, and induction activities. Assist with school communications, including social media updates, newsletters, and promotional materials. Work closely with the Headteacher and SLT to ensure a smooth and positive admissions journey for every family. Assist with the creation of the monthly newsletter.

Reception & Events



Cover reception duties as required by line management Ensure the School Office is a welcoming, tidy, and well-run environment for staff, pupils, and visitors. Manage and distribute incoming and outgoing post. Support arrangements for key events such as Open Days. Meet and greet visitors, ensuring signing-in and safeguarding procedures are followed. Monitor the security gate and access to the site.

Registration



Assist with the daily registration process if required. Manage and monitor late pupils signing in.

Other Duties



Provide administrative support to the Senior Leadership Team when required. Carry out tasks reasonably requested by the Headteacher or School Manager. Undertake any other duties of a similar administrative nature and level as required.

The ideal candidate will have:



Strong organisational and IT skills (Google Workspace desirable). Past experience using iSAMs or other MIS. Excellent interpersonal skills, with a professional and welcoming manner. Previous experience in a school or educational setting (desirable but not essential). A flexible, positive attitude and the ability to work well under pressure. A high level of attention to detail and a commitment to confidentiality.
