To provide a warm, professional, and efficient front-of-house service for Darul Madinah, while supporting the smooth day-to-day running of school administration. This role plays a vital part in ensuring positive communication with parents, staff, pupils, and visitors, and contributes to the overall organisation and effectiveness of the school.
Key Responsibilities:Reception Duties:
Act as the first point of contact for parents, visitors, and telephone enquiries, ensuring a welcoming and professional manner at all times.
Monitor and control access to the building, including opening the door and signing in visitors, following safeguarding procedures.
Handle incoming and outgoing post, messages, and deliveries.
Maintain the reception area and front entrance to reflect the school's high standards.
Administrative Support:
Maintain accurate records using the school's Management Information System (MIS), including pupil attendance, contact details, and medical information.
Carry out general administrative tasks such as photocopying, filing, scanning, and data entry.
Support the leadership team with school documentation, letters, reports, and meeting preparation.
Assist with maintaining pupil files, school registers, and staff absence logs.
Pupil Attendance:
Monitor daily attendance and follow up absences in line with school policy.
Liaise with parents and staff regarding lateness and unexplained absences.
Prepare and submit attendance reports as required.
School Lunches & Break Time Administration:
Manage the school lunch order system, liaising with catering providers and staff.
Ensure accurate records of dietary needs, allergies, and lunch attendance.
Parent and Staff Communication:
Distribute letters, newsletters, and notifications via email, SMS, or printed copies.
Provide support with scheduling parent meetings, school events, and parent-teacher communication.
Pupil Support:
Provide first aid and comfort to pupils when required (training will be provided).
Administer medication in line with the school's medical policy.
Supervise pupils in the reception area when waiting to be collected or for other purposes.
Additional Duties:
Ensure all records are kept in line with GDPR and school safeguarding policies.
Assist with school events, such as open days and workshops.
Support wider school activities as requested by the Headteacher or SLT.
Person Specification:
Essential:
Excellent verbal and written communication skills.
Confident in using Microsoft Office (Word, Excel, Outlook) and able to learn school systems.
Friendly, calm, and professional approach when dealing with children and adults.
Organised and able to manage time and tasks independently.
Commitment to safeguarding and child protection.
Desirable:
Experience in a school or similar environment.
Knowledge of SIMS or another MIS system.
First Aid qualification (or willingness to train).
