Job Title: School and Care Administrator
Salary: xc2xa325,396.80 per annum
Working Hours: Monday to Friday, 8.30 AM - 4.30 PM
Due to our on-going success and growth, we are recruiting for a Reception Administrator to join our Administration team based at our School in Swinderby, Lincolnshire.
About the Role.
This role focusses on creating exceptional experiences for the people we support through essential administration activity in support of the care and education delivery. The role will cover key aspects of administration including communications into & out of school, updating systems,supporting effective day to day record keeping, maintaining & updating records and administrative support regarding all meetings as requested, whilst holding the reception to ensure all visitors are welcomed and follow key Health, Safety and Safeguarding practices inline with our legislative and regulatory responsibility.
Key Responsibilities:

  • Meet and greet all visitors and deal with incoming telephone calls.
  • To assist with covering the review coordinator responsibilities at times of holiday and absence for Swinderby/Acacia Hall.
  • Manage conference room bookings and set up room prior to use.
  • Provide a wide range of administrative support as required, including effective minute taking, meeting arrangements and data gathering, photocopying, filing, archiving of care records, and writing/typing letters.
  • Assist in the maintenance of certain confidential records for colleagues and the people we support in accordance with laid down procedures.
  • Maintain stationary supplies, including stock control, ordering and distribution for the whole site.
  • Assist with the preparation of reports for the people we support.In particular, typing of reports and collating information in a timely manner to meet specified deadlines.
  • Earwig and SchoolPod update for Head of Education for all sites (Swinderby / Acacia / Calman)
  • Deal with all incoming and outgoing post.
  • Apply safe working practices and be conscious of the safety of others including the people we support, colleagues and visitors.
  • Liaise and work with members of the management team, teachers, parents and other professional bodies.
  • Identify personal training needs and attend appropriate training to develop relevant knowledge, techniques and skills.
  • Adhere to the Employee Handbook and all Company policies and procedures; particularly those relating to Health & Safety and safeguarding the welfare of the people we support.
  • Daily register check for attendance and sign in books
  • Support with organising and collating information in preparation of EHCP, MDT & One Plan meetings, review invitations, minutes and meetings and minute other meetings as required.
  • Carry out any other duties as assigned by management.

About You
Experience and Qualities You Need:
  • Demonstrable experience of our values and how these have been applied to previous life experiences
  • A passion for supporting people and a confidence in building relationships to complete activities
  • Developing and maintaining relationships with key stakeholders across care and education
  • Proficient on all MS Office applications in particular Outlook and Word
  • Happy to learn how to use our school and care systems
  • Highly organised, with the ability to pay attention to the detail whilst managing fast-paced workload
  • Able to manage expectations and prioritise work
  • Uses data to support recommendations and develop optimal plans and solutions
  • Experience of working towards regulatory requirements
  • Passion to learn all required policies, processes and legislation
