We are looking for a passionate administrator, who has established experience of working with education screening and compliance processes.

School Operations Administrator
Perm, Full time, Term time
Hours - optional shift pattern of 08:30-4pm/09:00-4:30pm/09:30-5:00pm (Full time)
Days: 197 days per year, with 4 to be worked during school holidays
Role Purpose
: To provide a comprehensive administrative service to all Woodside Group schools
Skill Requirements:
Essential
1-2 years+ school administration experience
Experience of maintaining a Single Central Register and pre employment screening in an educational setting
Educated to at least GCSE grade C standard or equivalent in English and Maths
Experience of note taking at formal meetings e.g., disciplinary, capability
Strong time management skills
Excellent organisation skills
Confident and strong verbal and written communications skills
Ability to manage a variety of internal and external stakeholders

Working experience of GDPR principles and the maintaining confidentiality

Meet and greet all visitors to the Wharf
Sign visitors in and out and issue visitor badge
Provide visitors with refreshments and an appropriate place to wait
Ensure visitors read the relevant policies
Answering and dealing with all telephone calls to the main Woodside Group number, taking messages and transferring calls where appropriate.
Listening to and dealing with voicemail messages
Ensure voicemail is activated during periods of unavailability
Manage all incoming and outgoing post
Take post to local post office where necessary
General typing and data entry such as staff memos and letters etc.
Photocopying
Filing
Laminating
Manage deliveries, ensuring they are signed for
Drop off parcels and supplies to bases and where necessary
Visit bases as and when required
Provide administrative support to the Directors of Woodside Group and the when requested.
Maintain and update GIAS
Manage and respond to relevant Mail @ Woodside queries within agreed timescales
Responsibility for typing up and circulating term dates to all Woodside Group staff, parents and transport by the end of January each academic year.
Answering and dealing with all telephone calls to the main Woodside Group number, taking messages and transferring calls where appropriate.
Update DfE regards attendance
Report on attendance to Management when required
Manage taxi queries & taxi company relationship for Woodside Group, in line with the Woodside procedure
Manage room and event bookings
Student Transitions
Manage enquiries from parents and local authorities
Act as first point of contact for new student enquiries, working with the Family Link
Provide administrative support to the students transitions process as required
Process student leaver data
Property Management
Support the proprietor with the administration associated with the viewing of new properties and lease applications
People
Organise interviews
Via the referencing agency, complete employment screening requirements for new starters in line with safer recruitment policy requirements
Manage the collation of eligibility documents such as proof of ID, Proof of right to work, proof of address etc at the appropriate stage, using the document
Apply for new starter references
Respond to reference requests for existing staff/leavers
Maintain the single central register
Produce contracts for employment
Issue new starter welcome emails
Produce new contracts for existing staff following receipt of a change of circumstance form
Organise uniform for new starters
Book all staff training courses through High Speed Training and other suppliers
Maintain training database data
Ensure that refreshers are booked an allocated to staff in timely manner
GDPR
Maintain student on roll and off roll data
Upon receipt of new student form, create a folder for the student under the relevant school drive
Scan and upload all documents relating to the child, then dispose of the originals in line with the data retention process
Ensure the appropriate access is given to the Leader responsible for the student
Coordinate the annual refresh of parental and student data in September each year, including reissuing privacy notices to parents and students aged 13 years and over.
Process leaving students data in line with the data retention policy, ensuring data is retained or securely disposed of as applicable
Inform the relevant local authority contact when a student leaves
Input student and parent data into ARBOR
Scan and upload all signing in sheets to the drive
Take notes at sensitive meetings such as disciplinary, grievance etc
Input staff data to ARBOR
Create new staff files
Process staff leaver data in line with data retention policy
Safeguarding responsibilities:
Control access to the school in line with the school's safeguarding (visitor) procedures, including signing-in visitors, checking identification as necessary, issuing passes and notifying them of safeguarding and safety procedures
Be alert to unknown individuals on the premises and report any concerns to your Line Manager.
Contribute to the safety of children and young people and protect them from harm
Demonstrate a commitment to safeguarding and promoting the welfare of children
Health & Safety Responsibilities:
All employees are responsible for ensuring they take every reasonable action to keep themselves and everyone in the school environment safe and well.
