Purpose of Role:

To provide a professional and efficient reception and administrative service that supports the smooth running of the school and reflects its values. This role is key in ensuring a welcoming environment for all stakeholders and in supporting the wider staff team through strong organisation, communication, and first aid provision.

Key Functions:

? To provide efficient and effective administrative support to a growing and developing school

? To act as a professional first point of contact student and family contact at the School

? To lead on emergency first aid

? To support the Senior Leadership Team and wider school staff

Specific Responsibilities:

Reception & Front of house Support



Serve as the first point of contact for all students, visitors and callers during the school day.

Manage incoming calls: respond directly where possible, redirect appropriately, and take accurate messages.

Provide accurate information and respond to queries from students, staff, and parents.

Manage visitor access and security protocols including safeguarding, signing in/out and issuing ID badges.

Handle and log deliveries, ensuring relevant staff are informed promptly including timely processing of examination scripts and collections.

Maintain a tidy, welcoming reception area and keep noticeboards and displays updated and well presented.

Lead on promoting a professional and helpful school front office at all times.

Provide a calm, welcoming presence for students who are unwell, in need of assistance, or have questions.

Contact families regarding student illness, injuries, or early collection needs.

Maintain accurate logs of student arrivals, departures, and incidents throughout the day.

Issue items such as planners or passes purchased on ParentPay.

Respond to calls from parents and carers, delivering accurate messages and updates to relevant staff promptly.

Work closely with pastoral teams to support student wellbeing and ensure communication with home is effective and timely.

Monitor and manage students, maintaining a safe and supportive environment.

Manage early/late student sign-ins and outs, updating MIS system Bromcom, Class Charts

Medical & First Aid Duties

Act as the lead First Aider; administer first aid and manage medical emergencies.

Lead the provision of first aid and manage emergency situations in line with school policies.

Maintain up-to-date records of medical information, care plans, and medication requirements for students.

Coordinate with the school nurse and external agencies regarding vaccinations and health-related programs.

Ensure first aid supplies are stocked and prepared for both on-site needs and school trips.

Liaise with emergency services and parents regarding student medical needs.

Maintain a log of incidents, accidents, and treatments in accordance with school policies.

Complete student-specific risk assessments and ensure their appropriate documentation and storage.

Monitor the defibrillator and ensure its readiness.

Support students with conditions such as diabetes, and all medical conditions maintaining accurate records.

Track first aid certifications and prompt re-training.

Process and log incident reports, consent forms, risk assessments, and medical data.



Administrative Duties

Provide general admin support to the office and Senior Leadership Team: filing, photocopying, scanning, and correspondence.

Assist with distributing incoming mail and preparing outgoing communications.

Support with the administration of school events, meetings, and open days.

Assist with tasks related to exam deliveries in line with JCQ regulations.

Team Collaboration & Flexibility

Model professionalism and uphold the school's values and ethos in every interaction.

Provide flexible support across the admin team, assisting with additional tasks during peak times or staff absences.

Maintain awareness of the roles and responsibilities of team colleagues and offer cover or support as required.

Participate fully in staff meetings, briefings, and training sessions as required.

Maintain strict confidentiality and data protection standards.

Work collaboratively and flexibly within a team, supporting during peak times or absences.

Engage in regular professional development and line management processes.

Promote and safeguard the welfare of children and young people at all times.

General:

To actively promote the safety and welfare of our children and young people To model the front of house school approach to ensure the highest standards of professionalism and communication with all stakeholders are upheld. To liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy To follow all Trust and School Policies including the Staff Code of Conduct and KCSIE Guidance. Undertake any other duties commensurate with the role, as delegated by the Office Manager or Senior Leadership Team. To carry out any duties and responsibilities assigned as reasonably directed by the Headteacher.

The postholder is required to support and encourage the school's ethos and its objectives, policies and procedures

as agreed by the Governing Body.

S/he shall be subject to all relevant statutory requirements as detailed in the most recent School Teachers Pay and Conditions Document.

Person Specification



Qualifications



? GCSEs (A*-C / 9-4) in English and Maths or equivalent (desirable)

? Relevant training in customer service, safeguarding, first aid, or administration systems (desirable)

Knowledge, Skills and Experience



? Experience of working in a front-facing customer service or administrative role, preferably within a school or educational setting

? Confident in the use of IT systems including Microsoft Office, email, internet, and Management Information Systems (MIS) such as BromCom

? Strong organisational and time management skills with the ability to prioritise workload effectively

? Excellent verbal and written communication skills with the ability to communicate clearly and professionally with a wide range of people

? Experience in dealing with confidential information in a discreet and professional manner

? Ability to remain calm under pressure and handle challenging situations with empathy and professionalism

? Knowledge of safeguarding procedures and an understanding of the importance of child protection in an educational environment

? Ability to work independently with minimal supervision, and as part of a team

? Understanding of the importance of a professional front-of-house presence and first impressions

? Experience of managing multiple tasks simultaneously in a busy environment
