We're seeking an organised and motivated Secretarial Administrator to join our CLAO Inverness office, providing efficient, high-quality legal administrative and casework support to solicitors and Heads of Office across the CLAO network.
You'll play a key role in helping us deliver client-centred and trauma-informed legal services, ensuring our offices run smoothly and our clients receive the highest standard of support.
Key responsibilities include:
Audio and copy typing, drafting legal and other documents
Maintaining and updating case files within the case management system
Assisting solicitors with administrative and case-related tasks
Managing reception duties, including dealing with client and contact enquiries
Administering incoming and outgoing mail through various communication methods
Processing case documents, including downloading, photocopying and scanning
Diary management and coordination
Processing invoices and requisitioning goods or services through internal systems
Using and monitoring Legal Aid Online (LAOL)
Supporting the Network and Support Coordinator with delegated tasks
Supporting training and work planning for new business support colleagues
Other general office and administrative tasks as required.
To succeed in this role, you will need:
Speed and accuracy in typing
Excellent oral and written communication skills
Competent in the use of IT, including Microsoft 365 applications
High level of accuracy and attention to detail
Ability to work independently and seek guidance appropriately
Excellent time management and organisational skills
Excellent customer service skills
Sound understanding of confidentiality and data protection.
