Purpose of the Role
To provide efficient, friendly, and professional administrative support, alongside the Nursery Administrator, to ensure the smooth running of the nursery.
The Nursery Secretary plays a central role in maintaining communication, organisation, and compliance across the setting--supporting the staff team and building strong, positive relationships with parents and visitors.
Key Responsibilities
Administration and Communication
Manage the nursery inbox: triage, respond, and forward emails appropriately; maintain an organised clear inbox.
Handle calls and parent queries warmly and professionally.
Support preparation and distribution of newsletters and parent communications.
Contribute to nursery social media posts, following safeguarding and permissions guidance.
Attendance and Record Keeping
Welcome families each morning; sign in children and take parent messages.
Monitor attendance, follow up on absences and address anomalies daily; maintain accurate logs using the My Montessori Child (MMC) information management system
Record staff attendance via MMC
Download and distribute termly data reports from MMC for leadership.
Health, Safety, and Compliance
Carry out and log regular safety checks using Bright Safe (online H&S management system)
Support diary management for health and safety servicing and inspections.
Undertake training to administer basic first aid.
Operational and Team Support
Order and maintain supplies for classrooms, office, and staff kitchen.
Support lunch supervision, helping ensure calm and safe mealtimes.
Assist with event organisation (e.g. new parent mornings, seasonal events).
Prepare and process ad-hoc invoices using MMC and Xero (full training will be provided)
Support with printing, display materials, and general administrative tasks as required
Person Specification
Essential
Experience in a busy administrative or office environment.
Strong organisational skills, accuracy, and attention to detail.
Confident IT user (Microsoft Office, email, spreadsheets, databases).
Friendly, professional manner with children, parents, and colleagues.
Flexible, proactive, and able to use initiative.
Willingness to undertake safeguarding, first aid, and software training.
Commitment to continuous professional development.
Respect for confidentiality and an understanding of safeguarding responsibilities.
A positive attitude that reflects our values of confidence, care, and courtesy.
Desirable
Experience working in a nursery, school, or childcare setting.
Knowledge of Montessori or early years education principles.
Experience using Xero or similar finance software.
Experience managing social media accounts for an organisation.
First Aid qualification.
