We are looking for a motivated Secretary (Band 3) to join our Mendip Community Mental Health Team at The Bridge, Priory Health Park, Wells. Working as part of a friendly and supportive team, you will provide essential secretarial and reception services to help ensure the smooth running of the department.
Your role will involve a variety of tasks, including managing telephone enquiries, typing reports and correspondence, minute-taking, handling mail, arranging appointments, and ordering supplies. You'll also assist with petty cash and support meetings, helping the team deliver high-quality care to service users.

Main duties, tasks & skills required

Act as the first point of contact for incoming calls and visitors, ensuring courteous and effective communication.
Provide comprehensive secretarial support, including typing letters, reports, and meeting minutes.
Manage incoming and outgoing mail and maintain accurate filing systems.
Organise appointments and maintain room booking systems for team members.
Handle petty cash transactions and order goods and supplies as required.
Support meetings by preparing documentation and refreshments, and taking notes.
Assist with data entry and maintain confidentiality at all times.
Provide cover for colleagues during absence and support induction of new staff.

As a Band 3 Secretary, you will play a key role in supporting the Mendip Community Mental Health Team. Your responsibilities will include:
Acting as the first point of contact for service users, carers, and external agencies.
Maintaining accurate administrative systems for referrals, attendances, and discharges.
Typing and formatting documents to a high standard using Microsoft Office.
Managing diaries and coordinating appointments for clinical staff.
Ordering and maintaining stock levels of stationery and supplies.
Processing petty cash in line with Standing Financial Instructions.
Supporting the team with data entry into the Trust's computer systems.
Upholding confidentiality and safeguarding standards at all times.
