We are seeking a professional and friendly Receptionist/Secretary to join our dynamic team. This role is essential in ensuring the smooth operation of our office, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong organisational skills and a keen attention to detail, enabling them to manage various tasks efficiently while maintaining a welcoming atmosphere for clients and visitors.
Responsibilities
Greet clients and visitors in a warm and professional manner, ensuring a positive first impression.
Answer and direct phone calls with excellent phone etiquette, addressing inquiries or forwarding calls as necessary.
Manage the scheduling of appointments and meetings, coordinating calendars effectively.
Perform clerical duties such as filing, data entry, and maintaining office supplies inventory.
Utilise computerised systems for administrative tasks, including managing correspondence and documentation.
Assist with basic bookkeeping tasks using sage to support financial operations.
Maintain an organised office environment by ensuring that all areas are tidy and presentable.
Provide support to other team members as needed, contributing to overall office efficiency.
Skills
Proficient in using Google Suite for document creation, spreadsheets, and presentations.
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent clerical skills with attention to detail in data entry and documentation management.
Familiarity with QuickBooks or Sage is advantageous but not essential; willingness to learn is key.
Demonstrated ability to maintain professionalism in all communications and interactions.
Ability to work independently as well as part of a team within a busy office environment.
