Position
IPRS Aeromed are currently recruiting for a Security Clearance & Airside Pass Administrator to join their expanding team based in the Gatwick office (this is not a remote role).
The Security Clearance & Airside Pass Administrator plays a critical role in ensuring that all personnel operating in secure and restricted areas are properly vetted and compliant with aviation security regulations.
Your work will be the backbone of our secure operations - enabling people to do their jobs safely, legally, and on time.
This position safeguards operational integrity and supports regulatory compliance to ensure:

  • Seamless access to secure and airside zones, enabling operational teams to perform their duties without delay or disruption.
  • Full compliance with aviation security regulations, protecting the business from fines, reputational risk, and operational setbacks.
  • Efficient onboarding of staff and contractors, ensuring critical roles are filled quickly and safely.
  • Robust tracking and auditing of passes, reducing the risk of unauthorized access and strengthening our security posture.
  • A trusted liaison between internal teams and external authorities, streamlining communication and accelerating clearance approvals.
The Role
As Security Clearance & Airside Pass Administrator for IPRS Aeromed you will be responsible for:
  • Assisting managers with the onboarding of new clinical and non-clinical colleagues via efficient processing of all Security Clearance and Airside Pass applications
  • Working closely with the Recruitment Lead regarding the onboarding of colleagues and taking ownership of each candidate's clearance and airside pass progress
  • Preparing 5-year candidate screening packs ready for submission to the Airports ID Centre via our client
  • Liaising with our client's Airside Passes team maintaining a strong and productive working relationship
  • Liaising with Government Agencies to ensure efficient processing of new applicant Security Clearances to a Counter Terrorism level
  • Ensuring efficient processing of existing staff Security Clearance renewals to a Counter Terrorism level to ensure there are no breaks in service
  • Verifying applicants ID documentation to the required standard
  • Ensuring all staff have the required level of DBS certificate in place to support the onboarding and clearance processes
  • Using email and telephone to keep candidates informed of their progress and to obtain further information as required towards their successful application
  • Ensuring applicants return required paperwork within set timescales
  • Keeping the HR database & Airside Pass tracker accurately updated with all relevant progress for each candidate
Requirements
To be considered for this role, you'll need the following:
Qualifications:
  • GNVQ/NVQ Level 2 qualification or equivalent, or 4 GCSE/O level passes A-C or equivalent, including English and Maths; or
  • A minimum of three years administration or customer service experience
  • Experience of processing Airside Pass applications with Airport ID Centres (D)
Knowledge & Experience:
  • Experience of processing Airside Pass applications with Airport ID Centres (D)
  • Experience of processing Government Security Clearance applications (D)
  • Experience of working in a busy recruitment environment (D)
  • Experience of using various Microsoft programmes (E)
  • Experience of using bespoke databases (D)
Skills & Abilities:
  • Ability to respond efficiently to changing demands.
  • Clear and concise written and spoken communication skills.
  • Attention to detail and the ability to record information accurately are both essential.
  • Ability to plan and organise workloads effectively.
  • Ability to prioritise and meet relevant Key Performance Indicators.
  • Ability to work on own initiative with minimal supervision in a proactive manner.
  • Team worker who is flexible and has a positive attitude to learning and self-development
Other information
Benefits and Rewards:
Salary 28,000 per annum working 40 hours per week Monday to Friday 8am to 5pm (1 hour lunchbreak)
