A well-maintained residential block in Fordingbridge is seeking a reliable, proactive, and organised
Self-Employed House Manager
to oversee the day-to-day coordination of the site. Working closely with the Directors and external managing agent (Hawk Estates), you will be the key on-site point of contact for residents, contractors, and service providers. This is a varied and rewarding role, ideal for someone with strong administrative, communication, and people skills
Key Responsibilities:
Act as the liaison between Directors and contractors; arrange and coordinate all works.
Receive and review contractor invoices; verify with a Director before forwarding to Hawk Estates for payment.
Provide assistance and information to residents and visitors as required.
Maintain a working knowledge of the lease; escalate queries to Hawk Estates when necessary.
Coordinate interviews for prospective occupants with Directors.
Place and update internal notices as needed.
Manage a booking spreadsheet for the guest suite and ensure payments are collected.
Maintain up-to-date service schedules and safety compliance records.
Record meter readings and track utility data.
Conduct six-monthly smoke alarm tests within flats.
Monitor daily resident contact via Alertacall; check in on any unresponsive or vulnerable residents.
Maintain a list of vulnerable residents and liaise with their families as appropriate.
Design and organise all administrative forms and site folders.
Order and monitor office and cleaning supplies.
Keep residents informed of any important information or updates.
Work with Alertacall and Taking Care to support resident wellbeing.
Create and distribute a monthly newsletter to residents.
Monitor insurance renewal dates and ensure fire risk assessments are up to date.
Complete a Fire Warden course (training can be arranged).
Draft and maintain a comprehensive Fire Safety Policy.
Assess the need for Personal Emergency Evacuation Plans (PEEPs) for residents.
Carry out an annual site audit in coordination with the Directors.
Requirements:
Self-motivated and well-organised with strong attention to detail
Excellent communication and interpersonal skills
Confident with basic IT tools (e.g. Excel, Word)
Professional and empathetic, particularly when supporting elderly or vulnerable residents
Ability to handle sensitive information with discretion
Previous experience in property or facility management is desirable but not essential
Knowledge of fire safety or willingness to undertake training (Fire Warden course provided)
Additional Information:
This is a self-employed position with flexible hours (approximately 2 hours per day).
You must be based locally in or near Fordingbridge.
You will report to the Directors of the block and liaise with Hawk Estates, the property management company.
