Head of Outreach Services / Deputy Manager of Admissions and Transitions

Purpose of the Role:
The Admissions and Attendance Officer will play a key role in ensuring the smooth running of admissions, attendance monitoring, and accurate student record keeping. The post holder will act as the first point of contact for attendance-related communications, support borough reporting, and maintain accurate records on the EKOS portal. This role is integral in ensuring compliance with local authority requirements and maintaining strong communication between families, staff, and external stakeholders.
Key Responsibilities:
Admissions & Records Management
Maintain accurate and up-to-date admissions records, including EHCP documentation and visit logs.
Input and update timetables on the EKOS portal for all new and existing students.
Ensure thumbnails, profiles, and visit logs are complete with all relevant information.
Attendance Administration
Oversee daily attendance recording and reporting.
Act as the main point of contact for parents/carers regarding attendance queries and absences.
Monitor, follow up, and escalate attendance concerns to the Deputy Manager.
Prepare borough feedback reports on attendance and student engagement, ensuring accuracy and timeliness.
Quality Assurance & Data Checks
Conduct regular running record checks across curriculum, mentors, and coordinators and flag any issues to the relevant teams.
Review and file PLPOs, ensuring compliance with internal standards.
Support preparation of reports for parent evenings and reviews.
Communication & Stakeholder Support
Liaise with parents, carers, and boroughs to provide updates on admissions and attendance.
Collate and present student and borough feedback as required.
Support senior leaders with data for inspections, audits, or reports.
Essential Skills & Experience
Strong administrative experience, preferably within an educational or SEND setting.
Excellent organisational skills with the ability to manage multiple priorities and deadlines.
High attention to detail with experience of maintaining accurate records.
Confident communicator with parents, staff, and external stakeholders.
Proficient in Microsoft Office and online data/portal systems.
Desirable Skills & Experience
Knowledge of SEND processes and EHCP requirements.
Experience of working with local authorities or alternative provision.
Familiarity with attendance legislation and reporting requirements.
