Key Responsibilities



Admissions management and customer relations

Support the Admissions Manager with the full admissions process: from initial enquiries to young learner enrolment and transition into the school. Arrange engaging, personalised school tours that ensure prospective families understand the core values and unique offerings of Atelier 21. Support the Admissions Manager to coordinate Taster Days, informing teachers, gathering feedback, and working with the Senior Leadership Team (SLT) to ensure the best fit for both young learners and the school. Build lasting relationships with prospective families by providing a VIP, personalised experience, whether through phone calls, TEAMS consultations, or in-person meetings. Support the Admissions Manager with handling all communication with prospective families, ensuring they feel supported, informed, and excited about joining the Atelier 21 community. Collaborate with the Special Educational Needs Co-ordinator (SENCO) team to obtain necessary reports from previous schools or nurseries as part of the admissions process. Support the SLT in negotiating scholarships and bursaries. Support the Admissions Manager in providing timely and accurate updates to prospective families regarding their application status, ensuring clear and transparent communication. Support the Admissions Manager in managing data iSAMs, ensuring allergies, medical and photographic permission. On rolling and off rolling. Coordinating with other schools Liaise with the COO to manage the GDPR of the admissions process and be aware of best practice when dealing with individuals' personal data.
Data Analysis & Reporting

Regularly tracking and report on admissions data, providing insights to the Proprietor and SLT. Support the analysis of enrolment trends, identifying areas for improvement in both the admissions process and marketing strategy. Support marketing to ensure the relevant stakeholders are kept informed about admissions performance and marketing activity, using data-driven insights to inform strategic decisions.

Operations



Transport Management

Manage a fleet of 5 minibuses, ensuring that daily and weekly safety checks are completed and documented. Oversee staff driver inductions, line management of drivers, and ensure monthly tachograph readings are compliant. Complete the weekly maintenance checks Perform quarterly driving licence checks and manage renewals for PSV vehicle licences. Coordinate the pupil transport service, including policies and best practice. Act as the first responder in the case of driver absence, and ensure vehicle roadworthiness, MOTs, and safety checks are up to date. Take ownership of the transport email inbox, ensuring timely and professional communication with parents, staff, and transport providers regarding daily transport arrangements and queries. Maintain accurate and up-to-date daily transport registers, ensuring all pupil transport arrangements are correctly recorded and communicated to relevant stakeholders. At the end of each half term, calculate and provide the accounts department with the total number of transport trips per pupil to support accurate invoicing of parents.
Facilities

Schedule regular service operators to carry out inspections and ongoing maintenance as required. Ensure all visits are logged, and any actions or follow-ups are recorded and tracked. Liaise with relevant staff to minimise disruption during inspections or maintenance. Maintain oversight of service contracts and ensure renewal dates are monitored.
Health Coordination Responsibilities:

Liaise with relevant health authorities and school nursing teams to coordinate and schedule all school-based vaccinations in line with national health guidelines. Ensure appropriate consent is obtained and recorded from parents/carers in a timely manner. Maintain accurate records of vaccination schedules, participant lists, and follow-up requirements. Communicate clearly with staff, parents, and external health professionals regarding vaccination logistics and protocols. Support the smooth delivery of vaccination sessions on site, ensuring safeguarding, data protection, and health and safety procedures are followed.
Cover:

Cover the reception during lunch breaks. May be needed to provide non-teaching cover during staff absence (e.g. break/lunch duties, outings, PE, swimming, transitions)
Meetings:

Arrange meeting rooms and refreshments for on-site meetings (e.g. ACA, HIVE, SIPS)

Essential Requirements

Highly organised, with excellent time management skills to handle multiple tasks and competing priorities. A natural relationship builder, tenacious, persuasive, and emotionally intelligent, with the ability to connect with, influence, and inspire prospective families. Strong written and verbal communication skills, able to confidently present ideas and information to parents, SLT, and external stakeholders. Analytical mindset with the ability to track and report on admissions trends and performance.
Desirable Skills

Demonstrated experience in an educational setting, with a background in admissions and operational support. Proficient in Microsoft Office 365, with the ability to manage data and documentation efficiently. Experience working with iSams or similar platforms. Understanding of safeguarding requirements and policies within schools.
