Job Description

As a Senior Administrator / Office Manager, you will be responsible for ensuring the efficient operation of the office, overseeing the scheduling of work for engineers, managing fleet logistics, handling general administrative tasks, and providing support in various areas of the business. Your expertise in Xero and scheduling tools will be essential in maintaining accurate records and ensuring that our engineers' schedules are organised and optimised. Additionally, you will assist with the bookings and coordination for the training centre department.

Key Responsibilities

:

Work Scheduling

: Schedule daily and weekly work for engineers, ensuring that appointments are optimized based on location, availability, and priority.

Quote Management

: Chase and track quotes for customers and ensure that quotes are followed up on in a timely manner.

Fleet Management

: Oversee the management of the company fleet, including vehicle maintenance, tracking, and ensuring all vehicles are roadworthy and equipped with necessary tools and supplies.

General Administration

: Provide general administrative support, including answering calls, managing emails, filing, and maintaining office supplies.

Xero Accounting

: Use Xero software to handle invoicing, payments, purchase orders, and other financial documentation related to the day-to-day operations.

Scheduling Tool Management

: Utilize scheduling tools to maintain an up-to-date and accurate record of all engineer appointments and activities.

Training Centre Assistance

: Assist in the bookings and coordination for the training centre department. This includes managing the schedule of training sessions, liaising with external training providers, ensuring all required materials and resources are available, and keeping track of employee certifications and training progress.

Training Course Bookings

: Coordinate and manage bookings for relevant training courses for staff development. Ensure that engineers and other team members are booked on necessary courses and certifications.

Customer Liaison

: Handle customer inquiries, schedule appointments, and provide exceptional customer service.

Health & Safety Compliance

: Ensure compliance with health and safety regulations related to office and fleet operations.

Qualifications



Educated to at least A-Level standard (or equivalent), demonstrating strong written and verbal communication skills.

Required Skills and Experience

:

Proven experience as an Office Manager, Administrator, or in a similar role within a trade or service-based industry, preferably plumbing and heating. Strong experience with scheduling tools (e.g., ServiceM8, JobLogic, or similar) and accounting software, specifically Xero. Excellent organizational skills with the ability to manage multiple tasks and priorities. Strong communication skills, both written and verbal. A proactive, can-do attitude with the ability to solve problems efficiently. Experience managing fleet logistics, including scheduling maintenance and ensuring compliance. Ability to deal with customer inquiries and maintain strong relationships. Strong attention to detail and high levels of accuracy. Ability to lead and motivate a team fostering a collaborative work environment. Ability to prioritise conflicting demands

Desirable

:

Experience in the plumbing and heating industry is a plus. Knowledge of other scheduling tools or accounting software. Familiarity with Microsoft Office Suite (Word, Excel, Outlook). Experience with booking and coordinating training events or courses. Good knowledge of health and safety regulations.
