The Role
We are seeking an
experienced Senior Administrator / PA
to support the clinical and operational running of the service. You must be comfortable managing complex workloads independently, prioritising effectively, and working to tight deadlines with confidence and precision. You will be trusted to act as a professional point of contact for families and external professionals.
This is not an entry-level or general admin role
.
This is a varied and rewarding position for someone with advanced clerical and digital skills, exceptional attention to detail and strong organisational ability.
Key Responsibilities
Managing a high-volume inbox, triaging and prioritising urgent matters
Logging enquiries, preparing and tracking quotes, and issuing paperwork
Formatting and proof-reading reports to a professional / medico-legal standard
Tracking consent forms, documentation, and signed reports
Coordinating clinicians and maintaining case trackers
Diary management and scheduling across multiple clinicians
Raising invoices, tracking payments, and reconciling accounts (QuickBooks)
Professional communication with parents, clinicians, solicitors, and schools
Managing records securely using SharePoint, OneDrive, and clinical systems
Supporting GDPR compliance and data security processes
Essential Requirements (Please Read Carefully)
Applicants

At least 5 years' experience
in a
senior administrator or PA role
Experience working in a
fast-paced professional environment
(e.g. healthcare, legal, consultancy, professional services)
Advanced
Microsoft Word
skills (formatting long documents accurately)
Strong
Excel
skills (trackers, formulas, workflow monitoring)
Experience with
invoicing and payment tracking
(QuickBooks or similar)
Experience managing
complex workflows independently
Excellent attention to detail and accuracy
Confidence handling
sensitive and confidential information (GDPR)
Clear, professional written and verbal communication
