Key Outcomes (to be achieved within 12 months):
Maximise Clinic Efficiency & Utilisation
Maintain a minimum of
85-90% diary utilisation
across clinicians by proactively managing bookings, reducing appointment gaps, and filling cancellations within 24 hours.
Support Revenue Growth
Contribute directly to the clinic's
20% annual revenue growth target
by optimising scheduling, improving patient retention, and supporting upsell opportunities (e.g., follow-up packages, additional services).
Enhance Patient Retention
Achieve a
return visit rate of 75%+
by delivering an exceptional front-of-house experience and ensuring seamless communication before, during, and after treatment.
Reduce No-Shows and Cancellations
Help reduce no-show and late cancellation rates to
below 5%
, through efficient confirmation processes, proactive follow-ups, and clear patient communication.
Boost Review & Referral Rates
Support the team to achieve a consistent stream of
5-star reviews
, with a target of at least
10 new reviews per month

The Role
As a
Senior Administrator/Receptionist
, you will be the first point of contact for patients and a vital support to our clinic operations. Beyond traditional reception duties, this role offers the opportunity to
make a measurable impact on our business
, contributing to how we scale our services and maintain the highest levels of patient satisfaction and operational efficiency.
You'll work closely with our
Senior Clinic Manager
, clinicians, and the wider team to ensure the clinic runs smoothly and that our patients receive the premium service that Bodylogics is known for.
Key Responsibilities
Greet patients with warmth and professionalism both in person and over the phone
Efficiently manage clinician diaries to maximise appointment availability and reduce gaps
Manage day-to-day clinic operations including cleanliness, stock levels, and appointment flow
Respond promptly to emails, calls, and voicemails with excellent customer service
Ensure accurate and GDPR-compliant record-keeping (intake forms, referrals, letters, scans)
Maintain strong communication with therapists and external referrers to support clinical outcomes
Actively contribute to business development strategies by identifying opportunities to improve operational efficiency, enhance patient experience, and increase clinic bookings
Support the marketing and administrative efforts needed for patient retention and growth
Open and close the clinic as needed, ensuring full security and preparedness for each day
Essential Skills & Experience
Minimum 1 year of experience in an administrative, reception, or clinic coordination role
Demonstrated experience supporting business growth through operational or customer service improvements
Excellent verbal and written communication skills
Ability to multitask and remain calm under pressure in a fast-paced environment
High attention to detail and a proactive, problem-solving mindset
Confident with Microsoft Office and general IT systems
Strong understanding of patient care, customer service, and the importance of a positive first impression
Reliable, punctual, and accountable
Desirable (but not essential):
Previous experience in a healthcare, wellness, or private clinic environment
Experience working with booking systems or clinic management software
Knowledge of private medical insurance procedures
Driving licence
