Ricoh are currently recruiting for a Senior Bid Manager, GMA who will be responsible for managing the end-to-end bid process, ensuring the delivery of high-quality, winning proposals that meet client requirements. The role is instrumental in supporting revenue creation and profitability through retention and expansion of current global major accounts and securing new business for Ricoh.

  • Leads and manages the end-to-end bid process.
  • Champions the Bid Qualification Process, ensuring all opportunities managed within the team are effectively qualified according to qualification process - Driving the Go/No Go decision.
  • Gathers SMEs to form bid teams. Chairs bid kick off calls and regular checkpoint calls with the virtual team, publishing agendas and minutes at all calls and ensuring all actions are followed up.
  • Develops and maintains a bid plan, collaborating with the wider team, adhering to deal governance standards and to align with customer deadlines.
  • Fully reviews tenders to assess clients' technical, operational, commercial and legal requirements and identify risks, ensuring a clear definition and allocation of client requirements and win themes to SMEs (including Ricoh Operating Companies ("OpCos")) to enable completion of properly considered responses).
  • Completes specific proposal response sections from boilerplate material and (where no boilerplate exists) drafts compelling and well-constructed bespoke material. Completes, vets and submits bid questions to clients and distributes answers to virtual bid team.
  • Collates SMEs' and stakeholder tender responses into clients' required formats. Copy-edits final written proposals, including all inputs, to achieve well-constructed, consistent, coherent and compelling documents for clients, permeated by the win themes articulated by the Global Deal Manager.
  • Responsible for management of all key tollgates within the Bid lifecycle.
  • Coordinates cross-functional teams, including sales, marketing, finance, and technical teams, to ensure timely submission of bids, both within and across regions.
  • Collaborate with Bid Coordinators where applicable on a bid and provides support/coaching where required.
  • Identifies potential risks and challenges associated with bids and develop mitigation strategies. Manages these risks in a RAID log format in line with agreed process.
  • Builds and maintains strong relationships with clients, acting as the primary point of contact for client inquiries throughout the bid process.
  • Manages Bids post submission - Presentations, clarifications and pricing negotiations until award stage.
  • Collaborate with the Sales teams to create customer presentations for RFP process, and presents/attends where applicable.
You will ideally have
  • Ideally candidates will be educated to bachelor's degree level or equivalent professional qualification with preference given to studies in Business, Marketing, or a related field
  • Successful candidates will ideally have a proven background as a Bid Manager, or similar role, preferably working with global/major-enterprise clients, in a client-facing, deadline-driven role, where you have proven experience in writing proposals.
  • Candidates with experience working in a digital services company (e.g. telecoms, audio-visual, data-centres, IT services, software, IT security) would be preferable, demonstrating knowledge of features, benefits and limitations of a technical product/service
  • Knowledge of how clients typically evaluate bidders is beneficial alongside any experience of leading and delivering change projects to improve best practice, efficiency, and/or corporate governance.
  • It is essential that successful candidates are fluent English, both spoken and written to business level is mandatory. An additional European language would be a plus.
  • Ideally you will have strong project management skills with the ability to manage multiple bids simultaneously, plus excellent written and verbal communication skills.
  • Candidates will preferably have the ability to work collaboratively with diverse teams and stakeholders alongside strong analytical and problem-solving skills.
  • Any qualification in process improvement or project management techniques such as PRINCE2, PMP, Six Sigma, Agile would be an advantage.
